Job Description
The Payroll Specialist will interact directly with management, peers, and employees to ensure effective administration and coordination of all payroll activities, specifically focusing on ADP timecard compliance, PTO, garnishment deductions and payroll tax issues. The Payroll Specialist is responsible for all activities that involve payroll, payroll deductions and payroll taxes. Additionally, the Payroll Specialist is responsible for effectively working in tandem with Department Heads and Leadership to ensure that all payroll activities are executed in a coherent, seamless, and professional manner. Strong work ethic, positive attitude, attention to detail and promptness are key attributes of a successful Payroll Specialist. The Payroll Specialist is expected to operate from a hands-on perspective and coordinate and assist all Culver leaders, peers, and front-line employees to achieve the company's overall strategy and goals.
PRIMARY DUTIES AND RESPONSIBILITIES:
· Maintain an up to date understanding of all labor, hiring and other HR laws and ensure all actions and activities are compliant
· Maintain all confidential employee files, electronic and physical, to ensure compliancy and privacy
· Be proficient in day-to-day ADP processes and activities including running reports and extracting data into usable Excel/PDF formats
· Possess general knowledge of ADP functions; be the primary interface with ADP regarding payroll activities, functionality, and design
· Manage timecards and exception reports. Responsible for timely payroll processing
· Manage Deductions including 401k, child support withholding orders, medical benefits, etc.
· Manage garnishments including completing support orders, filing, and sending timely responses on biweekly basis as required
· Manage reimbursements such as cell phone allowances, and other expenses documented in expensify
· Manage and execute sales incentives
· Manage and execute shift differentials
· Manage and execute benefit payouts such as PTO, holiday pay, etc.
· Manage and execute pro-rated payments for new and terminated salaried employees
· Set up necessary SUI/SIT jurisdictions, both with the state and payroll provider. Address notices from state agencies and provide reports to state agencies as required
· Manage and execute proper calculations and withholding of state/federal payroll taxes
· Manage, execute, and supervise necessary payroll process and activities including payroll deductions, garnishments, and biweekly payroll batch processing, etc.
· Act as 401K administrator responsible for loan management and related payroll deductions
· Manage deductions associated with employee benefits
· Be familiar with and be able to effectively capitalize on SHRM knowledge base
· Generate reports and provide HR data needed by or related to other departments
· Drive company initiatives including overtime reduction and lunch break compliance
· Work in collaboration with finance on cross-over matters such as medical insurance negotiations, etc.
· Recommend and lead necessary changes to facilitate the compliance and growth of the company
· Coordinate with generalist on proper payout of final paychecks for any employee terminations
· Maintain employee files with universal naming conventions to ensure appropriate access and availability
· Maintenance of employee time off, holiday and other time banks
· Consistent electronic and/or verbal communication with all organizational levels and external business partners
· Consistent daily communication with all appropriate parties regarding all payroll/HR aspects
· Protect entrepreneurial information and workplace confidentiality
· Attend all required internal and external business meetings
· Perform other duties as assigned
MINIMUM REQUIRED QUALIFICATIONS:
· ADP or similar HR platform experience
· Payroll processing experience
· Has knowledge or is familiar with HR legal compliance requirements
· Must have and be able to use personal communication device for business communication responsibilities
· Excellent time management skills
· Excellent verbal and written communication skills
· Proficient with Microsoft, Excel, Word, Outlook, Power Point, Teams and SharePoint
· Exercise good judgement with the ability to make timely and sound decisions
· Versatility, flexibility, and willingness to work within constantly changing priorities with enthusiasm
· Strong interpersonal skills
· Strong leadership skills

· Legally allowed to work in the United States
REQUIRED EDUCATION:
· High school diploma
· College degree or certification in related field a plus but not required

POSITION TYPE/EXPECTED WORK HOURS:
This is a full-time position requiring a minimum of 40 hours per week. This is a required in office position. Remote work is not available. Occasional evening and weekend phone and computer work is required to support deployed employees.
