The Role: Your Mission
As a Customer Experience Coordinator, you’re the heartbeat of the post-sale experience—our customer’s go-to guide, trusted liaison, and project quarterback. From the moment a contract is signed, you’ll take the reins, managing scheduling, updating customers, coordinating with crews, and solving problems before they happen. Your mission? Ensure every customer finishes their project saying, “Wow—that was easy, smooth, and even fun!”
What You’ll Do
Welcome with a Bang: Make that first “Happy Call” to congratulate new customers and set the tone for a white-glove experience. Confirm next steps, answer questions, and send a recap email that builds trust from Day 1.
Own the Calendar: Schedule pre-install measures, coordinate installation dates, and ensure every project moves like clockwork. You’ll juggle logistics while keeping crews, vendors, and customers in sync.
Be the Voice of Calm: Stay ahead of questions by proactively updating customers on timelines, product arrivals, and scheduling changes. Make sure they’re never in the dark—and always feel heard.
Get Ready for Showtime: Prep customers and installers alike for a smooth installation day. Confirm product details, share tips for success, and make sure everything is in place for an amazing reveal.
Celebrate & Support: After install, conduct a post-project check-in call. Celebrate the transformation, handle any final touch-ups, and invite the customer to share their experience through a review or referral.
Solve with Style: If a hiccup happens, you’re on it. Order parts, schedule service, update the customer—and turn any issue into a five-star recovery.
Keep It Tight: Maintain detailed records in our ServiceMinder CRM. Every note, date, and detail matters for seamless communication and teamwork.
Collaborate Cross-Team: Be the bridge between sales, operations, and installation. You’ll connect the dots, eliminate surprises, and help everyone shine.
Who You Are
2+ years in a customer-facing or coordination role (home improvement experience = a huge plus!)
A natural communicator—clear, warm, upbeat, and professional
A master organizer with a calendar that’s always on point
A problem solver who thrives under pressure and adapts fast
A true customer advocate who treats every project like it’s your own
CRM-savvy (ServiceMinder, Salesforce, or similar)
Comfortable with Microsoft Office & scheduling tools
Bonus: Familiar with remodeling timelines or construction workflows
