We are seeking a Customer Experience Coordinator to play a pivotal role in ensuring a seamless and exceptional experience for clients throughout the project lifecycle. This role is responsible for managing opportunity intake, coordinating project phases, and maintaining consistent communication with internal teams and external stakeholders. The CEC ensures that all administrative and client-facing processes are executed with precision, empathy, and efficiency.

Responsibilities:
Opportunity Management
Intake and enter new opportunities into Salesforce and CompanyCam based on information from Business Development Managers (BDMs) or other personnel.
Ensure all required opportunity data is complete and accurate, including contact details, opportunity descriptions, sales advice, and estimated values.
Maintain opportunity records in alignment with SOPs for Salesforce and CompanyCam.
Project Lifecycle Coordination
Transition projects through phases: Discovery → Qualify → Estimating → Proposed → Production → Closed.
Coordinate estimating kickoff and proposal delivery.
Manage communication cadences during estimating, proposal, production, and accounts receivable phases.
Update project status and assign Project Directors (PDs) as directed by leadership.
Client Communication
Serve as a consistent point of contact for clients throughout the project lifecycle.
Send progress updates, proposals, and final billings.
Follow up on proposals and outstanding receivables with professionalism and clarity.
Cross-Functional Collaboration
Work closely with BDMs, Project Directors, Project Coordinators, and leadership to ensure alignment and timely execution of tasks.
Tag and notify appropriate team members in Salesforce and CompanyCam to maintain workflow continuity.
Qualifications:
3–5 years of experience in customer service, project coordination, or administrative support.
Proficiency in Salesforce, CompanyCam, and Microsoft Office Suite.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple priorities in a fast-paced environment.
Empathy-driven mindset with a passion for delivering exceptional client experiences.
Preferred Qualifications:
Experience in construction, real estate, or project-based industries.
Familiarity with CRM and project management tools.
Collaborative spirit with a proactive approach to problem-solving.
