Join Velocity Work's Client Services team to deliver a world-class experience for law firm owners investing in strategic growth. The team strives to know every client inside and out – and we need you to match that intensity. This is a high-stakes, client-facing role where you'll be in the room during multi-day strategic planning retreats, supporting our lead facilitator in real-time while managing every operational detail before, during, and after. This isn't a desk job. It's on-your-feet work that demands you know where everything is, anticipate needs, and execute flawlessly under pressure. If you squint, you’ll see a lot of inspiration from customer-first standards held by top hotels and restaurants. The Reality of the Role You'll be supporting in-person strategic planning retreats – full-day and multi-day sessions where clients are making critical decisions about their businesses. During these sessions: • You're in the room, taking notes, adjusting spreadsheets (Google) & data presentations (Looker Studio) on the fly, and troubleshooting data issues in real-time • You're learning the client, their business, and their hopes and dreams • You need to locate any client document, business metric, or historical decision within minutes – no fumbling, no delays • You're reading the room, anticipating what our lead facilitator needs before she asks, and ensuring the client experience is seamless • You're managing logistics, technology, materials, and follow-through while staying invisible to the client unless called upon Between retreats, you're maintaining the operational backbone that makes this level of service possible: calendars, communications, data tracking, scheduling, and process documentation. Why This Role Matters Clients are investing significant time and resources to transform their businesses. The quality of their experience – from the clarity of a calendar invite to the precision of data presented in a retreat – directly impacts the value they receive. You'll be part of making that experience exceptional. Responsibilities: Retreat Support & Facilitation Assistance: • Be present ( in-person in Denver ) for quarterly and annual strategic planning retreats for which clients fly to Colorado to attend. These are intermittent throughout each month, planned well in advance • Be present for any retreats that take place virtually (on Zoom), playing the same role as in-person but remotely, typically from your home • Support the lead facilitator with real-time notes, presentation adjustments, and data retrieval • Manage all retreat logistics: materials, technology setup, client accommodations, meal coordination • Anticipate needs and solve problems before they become visible to the client • Execute immediate follow-up tasks while details are fresh Client Operations & Coordination: • Audit and maintain membership calendars monthly to ensure accuracy • Draft and send client communications: event details, reminders, accommodations, follow-ups • Coordinate scheduling for group calls, coaching sessions, and live events (invites, Zoom links, confirmations) • Support setup and logistics for all quarterly and monthly client touch points • Maintain client data trackers and ensure information is current and accessible Qualifications: What We're Looking For Non-Negotiables: • Exceptional attention to detail and organizational skills • Ability to stay calm and execute under pressure • Proactive communicator who closes loops without being asked • Fast learner who can absorb complex client histories and business contexts • Comfortable being in high-stakes client meetings and maintaining professionalism • Physical ability to be on your feet and present for full-day sessions • Based in Denver, Colorado Attitude & Mindset: • You take ownership – if something matters to the client experience, it matters to you • You don't wait to be told what needs doing • You believe excellence is in the details • You're energized (not drained) by high-intensity, high-impact work Compensation: $65,000 - $75,000 yearly
