    Position Overview

    We’re seeking a detail-oriented Operations & Customer Service Coordinator who can bridge multiple departments to keep our production and office operations running smoothly. This role combines elements of customer service, estimating, procurement, and human resources, making it ideal for someone with strong organizational skills and a background in printing, manufacturing, or administrative operations.

    You’ll assist in preparing job estimates, managing material purchasing, coordinating customer orders, and supporting HR functions such as onboarding and payroll documentation. This is a high-impact position that plays a key role in keeping communication clear between sales, production, and management.

    Key Responsibilities

    Customer Service & Order Management

    Serve as a liaison between customers, sales, and production to ensure smooth project execution.

    Prepare job tickets, maintain order details, and assist with scheduling and production follow-ups.

    Manage updates, revisions, and change orders with accuracy and professionalism.

    Estimating & Job Preparation

    Prepare basic and intermediate job estimates for folding carton projects.

    Work closely with production and design teams to ensure accurate specifications.

    Support sales with pricing and material selection insights.

    Purchasing & Materials Management

    Source and purchase paperboard, inks, and production supplies.

    Manage vendor relationships, negotiate pricing, and track material usage.

    Maintain an organized inventory system and reconcile purchase orders.

    HR & Administrative Support

    Assist with employee onboarding, recordkeeping, and compliance documentation.

    Help coordinate payroll data and benefits enrollment.

    Support company culture initiatives and HR communication with staff.

    Qualifications

    5+ years of experience in customer service, estimating, purchasing, or HR — printing or manufacturing industry preferred.

    Strong multitasking ability across departments.

    Proficiency in Microsoft Office; familiarity with ERP or CRM systems is a plus.

    Excellent communication and interpersonal skills.

    High attention to detail and follow-through.

    Preferred Experience

    Prior exposure to folding carton, printing, or packaging environments.

    Experience managing vendor relationships and purchasing cycles.

    Working knowledge of HR processes and compliance requirements.

    Strong problem-solving mindset and ability to streamline workflow processes.
