Customer Service Representative / Administrative Assistant

Key Responsibilities
Administrative Support
· Provide high-quality administrative assistance across multiple departments.
· Manage appointment scheduling via Outlook, Calendly, and Salesforce.
· Run a variety of reports using company software.
· Maintain and update client records in Sales Central.
· Scan and process new business or service paperwork into Image Silo.
· Organize and prepare client information for product illustrations, applications, and action folders.
Customer Service
· Monitor and respond to New Business and Service Alerts throughout the day.
· Answer incoming calls and respond promptly to client inquiries.
· Follow up on existing cases and track progress.
· Schedule and confirm client review appointments.
Event Planning & Marketing
· Participate in event planning for workshops and seminars.
· Coordinate marketing campaigns using company software.
· Manage social media business page posts via the Hearsay portal.
· Assist with marketing strategies for prospects and existing clients.
· Support BNI Chapter activities and lead follow-up efforts from AARP and AICPA lists.
Coordination & Tracking
· Maintain ICFR logs (Mondays).
· Oversee seminar email campaigns and follow-ups for long-term care prospects.
· Run monthly annual review lists and quarterly orphan client list follow-ups.
· Ensure marketing central plans are executed effectively.

Qualifications
· Associate’s degree or some college preferred; equivalent experience considered.
· Minimum 2 years’ experience in administrative and customer service roles.
· Proficiency in Microsoft Office Suite; strong computer skills required.
· Excellent written and verbal communication skills.
· Demonstrated ability to multitask and manage priorities effectively.
· Missouri Life & Health Insurance License preferred (must obtain within 90 days if not licensed).

Work Schedule & Compensation
· Flexible schedule: Minimum Monday–Thursday, 9:00 AM – 3:00 PM.
