Our ideal candidate will display these attributes: • Detail-oriented problem solvers • Friendly, warm & approachable • Service-oriented with a support mindset • Great communicator • Have high emotional control • Prefers a more stable, repetitive work environment Responsibilities: What You’ll Do We’re looking for someone who thrives in a structured, customer-focused environment: • Detail-oriented with strong problem-solving instincts • Friendly, warm, and naturally approachable • Service-minded—you enjoy helping people and making things easier for them • Clear and confident communicator (written and verbal) • Calm under pressure with strong emotional control • Enjoys a steady, organized, and repeatable workflow Administrative Support You’ll help keep the office running smoothly and efficiently: • Enter and manage project details in CRM and project management systems • Coordinate inbound and outbound shipments and deliveries • Assist with daily office operations (scanning, printing, filing, organization) • Maintain a professional, clean, and client-ready front office Design & Project Coordination You’ll be the connector between ideas and execution: • Collaborate with design team to ensure files align with client expectations • Review and distribute design drafts for approvals and quoting • Keep communication flowing between Sales, Design, Production, Admin, and Billing Shop & Team Support We’re a team-first environment, and everyone helps where needed: • Assist with light production tasks as needed • Help maintain a clean, organized, and efficient shop • Contribute to a respectful, positive workplace culture Growth Opportunities For the right candidate, this role can grow far beyond day-to-day coordination: • Get involved in marketing tools and signage product strategy • Support business development and brand growth initiatives • Assist with digital and traditional marketing campaigns • Contribute to lead generation efforts (email outreach, campaigns) • Work with marketing partners to improve online visibility • Help track and drive marketing goals aligned with company growth Why This Role is Different This isn’t just an admin job—it’s a key role in how our business operates and grows. • You’ll be the bridge between clients, our team, and the success of every project we deliver. Qualifications: Core Competencies • Strong organizational skills with a sharp attention to detail • Comfortable working in a fast-paced, dynamic environment • Confident communicator across in-person, phone, and digital channels • Customer-focused mindset with a passion for delivering great service • Fluent in English (Spanish is a plus and highly valued) • Familiarity with basic graphic design concepts or tools is a plus • Ability to manage multiple priorities and adapt quickly as needs shift Preferred Qualifications • Experience in signage, print, marketing, or a related industry • Familiarity with project management processes or workflow coordination Compensation: $16 - $18 hourly
