Job Description:
The Modern Work Global Sales, America’s focus Team is looking for a Business Administrator who has excellent organization and communication skills combined with a great positive attitude, strong initiative, and positive energy.
This position is responsible for providing administrative support to the Americas Team. This person will provide calendar support to the leader, team support for the org, and will partner with the Administrative team on additional projects. This position offers a variety of primary administrative functions, as well as stretch projects/initiatives to support our evolving Modern Work business.
This person will work closely with the other Business Administrators within the organization and will develop strong working relationships as part of the admin team. This position requires initiative, good judgment, and ability to maintain confidentiality, setting priorities, and handling multiple tasks simultaneously.
Candidates must have excellent communication, organizational, and interpersonal skills along with the ability to work independently and professionally at all levels. Candidates must be extremely resourceful and able to deal with ambiguity. They must possess solid problem-solving skills, strong attention to detail, be able to work effectively under pressure. They must work successfully in a team environment, build effective working relationships inside and outside the group, and accommodate working styles and perspectives of diverse individuals.- Modern Work Global Sales, America’s Team
\- Purpose of this team: sales organization, sales enablement that need to meet big quotas.
-Specific projects:
Responsibilities include, but are not limited to, calendar management, coordinating and scheduling org wide meetings, event planning and coordination, travel arrangements, preparing expense reports, interim approving team expenses, asset/headcount/space tracking, new hire setups, organization chart updates, maintaining group aliases, vendor management and special projects.
Task breakdown: 45% calendaring, 30% team support: equipment ordering, event logistics, 25% special projects and help with the broad admin team.
Flexible hours are allowed when needed
Manager utilizes their admin as a business partner, providing a lot of responsibility, has the intention to keep the candidate on for max time and helping them to grow and learn in the role. This team is a fast paced environment dealing with constant changes.
Strong admin team which will bring opportunities for mentoring and plentiful connections. The team is also very supportive and working to help one another.
-Experience: 5-7 years of experience
-Degree: N.A however, any PM certification or SCRUM master certification is a nice plus.
-Best Candidate:– baseline experience requirement is – 1+ year as an admin or similar role (receptionist, office manager, etc) where calendaring was a focus of the role.
Customer service background is a plus as well.
Should have experience in tech background or business background.
Soft skills – need someone who is a confident and strong communicator. Not intimidated by forming relationships at work. Consistency and open communication is key for this role
– Manager has had several admins in the last year due to not being a fit communication wise. She has a strong personality and expects collaboration and results. She wants to be “in the know” and expects her admin to be responsive and action oriented.
