DBMS is looking for a highly organized and detail-oriented Executive Assistant to support multiple CPA Executives. They will handle everything from e-mails, phone calls, scheduling meetings, faxing documents, collecting signatures from clients, and processing e-file returns.
We offer competitive salaries ($20-25/hour + overtime) and a flexible schedule. We believe in work/life balance and treating team members fairly. While overtime is required during tax season, we generally require significantly less than other firms.
Job Duties
· Provide comprehensive administrative support to the executive team, managing calendars and scheduling meetings.
· Prepare and edit correspondence and reports using Microsoft Office Suite, ensuring accuracy and professionalism.
· Assist in the preparation of tax documents, and other accounting-related materials.
· Coordinate internal and external meetings, including preparing meeting agendas, distributing materials, and taking minutes.
· Manage confidential and sensitive information, maintaining strict confidentiality and handling sensitive matters with discretion.
· Process expense reports, invoices, and purchase orders, ensuring accuracy and adherence to company policies.
· Implement efficient filing systems, both electronic and physical, ensuring easy retrieval of documents.
· Assist in the coordination and execution of special projects, events, and client engagements.
· Act as the primary point of contact for clients, vendors, and stakeholders, ensuring excellent customer service.
Executive Assistant Qualifications
· Associate’s Degree preferred, but not required
· Four or more years of experience in an administrative role reporting directly to upper management
· Excellent written and verbal communication skills
· Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
· Proficiency with office productivity tools and an aptitude for learning new software and systems
· Flexible team player, willing to adapt to changes and unafraid of challenges
· Ability to maintain confidentiality of information related to the company and its employees
Total Compensation:
· $20-25/hr + Overtime
· PTO (8 Holidays, 5 Personal Days, Starts at 2 weeks of vacation)
· 401(k) Plan – Firm will match 1/2 of employee contribution up to 2%
· Group Health Insurance – Premium Paid at 75%

· Aflac insurance policies are available at 100% employee cost
