    DEPARTMENT DESCRIPTION:

    DC Central Kitchen (DCCK) is a national leader in the future of hunger relief, empowering the next generation of leaders to implement innovative models for combatting hunger, developing food systems, and helping communities to help themselves. The Procurement department is an integral part of this innovative approach with a focus on consistent, efficient, and responsible procurement and purchase of product and supplies for the organization. This department works collaboratively with our Food Recycling/Meal Distribution and Revenue Generating Programs and is also responsible for contract negotiation for long-term contracts, sourcing to identify suitable vendors for various products and services, managing vendor relationships, and identifying the best solutions to support the goals and the mission of the organization.

    POSITION DESCRIPTION:

    The Procurement Coordinator is responsible for the administrative tasks in the department. These tasks include reviewing and approving invoices that are assigned to the Procurement team in the automated Accounts Payable system (Bill.com) and entering data for local invoices into the cloud-based tracking system. The Coordinator serves as the main point of contact for new donations, and schedules donations with the Transportation and Kitchen teams. The Coordinator also handles data management for the donation program, including accurate and timely data entry and internal and external reporting.   This role will assist in creating and placing orders for a variety of programs and departments as needed. The Coordinator will also assist with sustainability initiatives that support departments across the organization and will be directly involved in managing the volunteer gleaning program by running trips and assisting with scheduling.

    DUTIES AND RESPONSIBILITIES:  

    ADMINISTRATIVE

    • Approve invoices in Bill.com accounting system daily; serve as main approver for Procurement, flagging any challenging invoices or questions for manager and/or director. 
    • Manage all donation receipts entry into online database and generate bi-monthly thank you letters to donors, which are updated on quarterly basis.
    • Manage food donor recognition and work closely with Communications and Marketing team on social media coverage of food recovery efforts. 
    • Update weekly and monthly dashboards for Procurement department.  
    • Work with Inventory Control Assistant and Coordinator to check for any shortages or errors on orders, notify vendors of shortages, and ensure product is re-ordered.   
    • Assist with In-Kind Audit report, verifying all donation receipts against information in the database. 
    • Assist with monthly inventory report. 
    • Submit monthly reports for Capital Area Food Bank
    • Support Manager and Director in sustainability efforts across organization as needed, such as but not limited to maintaining Fitwell Certification and managing LeanPath waste tracking software.

     

    DONATIONS: 

    • Seek out new donors focused on high need items such as protein and produce. 
    • Field food donation inquiries including food drives and snack pack requests, including monitoring the DCCK Food Recovery email. Respond accordingly and based on the request, schedule pickups with transportation as needed.
    • Work with Culinary Operations to determine suitability of large donations and schedule all donation pickups with transportation. 
    • Communicate all donations to Inventory Control Assistant and Culinary Operations team.

     

    PURCHASING (FOOD)

    • Assist Manager in creating and placing orders as needed for all departments and programs. 
    • Attend weekly production meetings for both Nutrition Lab and Main Kitchen to plan order schedule and assess needs. 
    • Assist as needed with school food projections and waste tracking log. 
    • Support Café Staff as needed with placing orders.  
    • Place all orders as needed from CJT staff using CJT order guide. 
    • Place orders through Capital Area Food Bank weekly.

    RECEIVING/INVENTORY MANAGEMENT

    • Support Inventory Control Assistant and Manager in checking inventory levels as needed before orders are placed.  
    • Give Inventory Control Assistant all orders for the following day so they can plan walk-in and storage areas and be prepared for what to receive.

     

    VOLUNTEERS / SPECIAL EVENTS 

    • Assist with Gleaning Program from June – October.   Seek out new farms, schedule weekly gleaning events, coordinate with volunteers and attend and lead gleaning trips.
    • Field and respond to all Thanksgiving donation inquiries and plan. Plan towards and attend special events such as Everything but the Turkey and Fresh Farm Market Food Drive. 
    • Coordinate special/holiday food drives or snack making activities with outside groups. 
    • Serve as an ambassador to visitors to DC Central Kitchen seeking to learn about food recovery.

     

    MINIMUM QUALIFICATIONS:  

    • Bachelors’ degree and 1 – 2 years of related experience OR equivalent combination of education, training, and experience
    • Computer proficiency in Microsoft Word, Excel, and Outlook
    • Demonstrated cultural competence and a commitment to the mission and values of DC Central Kitchen
    • Excellent oral and written communication and interpersonal skills
    • Ability to work under pressure, manage concurrent responsibilities, and prioritize according to shifting, and sometimes, accelerated deadlines
    • Ability to perform repetitive tasks with a high degree of accuracy
    • Comfortable working independently with minimal supervision
    • Pre-employment background check, drug test, and completed COVID-19 vaccination (level two verification) are required.
    • Driver’s license with no more than 3 points preferred

    PHYSICAL DEMANDS:

    • Must be capable of independent local travel
    • Must be able to work occasional nights and weekends
    • May occasionally move Audio/Visual and other office equipment or lightweight items weighing up to 30 pounds for various meeting and event needs; Some functions of this position may require moderate physical activity, including transporting, positioning, installing, or removing office equipment items, such as printers, computers, phones, and so on
    • Will occasionally move about inside the office and commercial kitchen space to access supplies, materials, file cabinets, office machinery, etc.
    • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer; constantly positions self to access and maintain computer equipment; and must be able to remain in a stationery position for at least 50% of the time.
    • Must be able to work in an environment where exposure to unusual elements such as extreme temperatures, fumes, dirt, smoke, loud noise, and a variety of odors is common
