Job Summary
We are seeking an HVAC Office Manager to join our company. HVAC or construction company experience a plus. Small-business experience needed. QuickBooks experience required. Must be proactive, motivated, and forward thinking.
In this role, you will coordinate all administrative duties and office procedures, ensuring the workplace operates smoothly and efficiently. Your responsibilities will include scheduling projects, A/P, A/R, HR support, Payroll and maintaining office equipment supplies. The ideal candidate is highly organized with excellent verbal and written communication skills and the ability to implement systems and procedures.
Responsibilities
Prepare estimates and contracts
Pay and record invoices
Track technician hours
Maintain office equipment in good working order with the assistance of the IT department
Assist Project Managers
Maintain calendar of appointments
Answer phones when needed
Accurately maintain general office budget
Qualifications
High school diploma/GED required, some college preferred
Previous experience as an Office Manager in HVAC or similar trade preferred
Understanding of office equipment, systems, and procedures
Skilled in QuickBooks, Microsoft Office, Excel, and Outlook
Excellent time management skills and ability to prioritize multiple tasks
Strong problem-solving skills and attention to detail
Excellent verbal and written communication skills
