    Position Summary

    The DME Intake Specialist plays a critical role in supporting patient care by accurately processing referrals, verifying coverage, and ensuring patients receive the appropriate home medical equipment and services in a timely manner. This position serves as a liaison between referral sources, internal teams, and patients, requiring strong communication, organization, and analytical skills.

    Key Responsibilities

    · Enter and process referrals in a timely manner, meeting established productivity and accuracy standards.

    · Communicate with referral sources, physicians, and office staff to ensure complete and signed documentation is received.

    · Determine appropriate equipment or services based on referral type and enter into the appropriate system.

    · Coordinate with branch leadership to ensure availability and proper selection of inventory.

    · Notify patients of their financial responsibility, collect payments, and document accordingly.

    · Review and assess medical documentation to ensure compliance with payer guidelines prior to service delivery.

    · Collaborate with referral sources and sales teams to obtain necessary clinical records and documentation.

    · Provide updates to patients when documentation is insufficient and present alternative options.

    · Navigate electronic medical record (EMR) systems to retrieve supporting clinical documentation.

    · Assist patients and providers by answering incoming calls and directing inquiries appropriately.

    · Support the verification team in confirming benefits and ensuring billing accuracy.

    · Follow all company procedures to ensure timely, compliant service delivery.

    · Evaluate and assess patients for diabetic footwear eligibility and proper fit. Including performing fitting assessments.

    Required Skills & Competencies

    · Strong communication skills (written and verbal)

    · Excellent customer service and telephone etiquette

    · High attention to detail with strong organizational and problem-solving abilities

    · Ability to interpret clinical documentation and payer requirements

    · Proficient in Microsoft Office and comfortable learning new systems

    · Experience navigating multiple EMRs is preferred

    · Ability to prioritize tasks and manage time effectively in a fast-paced setting

    · Team-oriented, with a proactive and collaborative approach

    Preferred Qualifications

    · Prior experience in DME, home health, pharmacy, or medical billing is preferred but not required

    · Diabetic Shoe Fitter certification preferred; must be obtained within 90 days of hire if not already certified

    · Knowledge of payer guidelines, including Medicare and Medicaid

    · Familiarity with CGM billing is a plus

    Work Schedule

    · Job Type: Full-Time

    · Schedule: Monday–Friday, 8:30 AM–5:30 PM; Saturday 8:30 AM-1:00 PM

    · Clinical and retail setting within a pharmacy-based DME environment.
