We are looking for an Administrative Assistant to perform a variety of clerical and operational tasks. Duties of the Administrative Assistant include providing support to our managers and employees, managing our company’s general administrative activities, and liaising with government entities as well as clients and their vendors.
RESPONSIBILITIES
· Answer and direct phone calls in a professional and polite manner
· Update vendor and client contact lists
· Correspond with clients and vendors when directed via email, memos, faxes, and forms
· Interface professionally with government entities when required to manage client affairs
· Organize information such as client paperwork and digital files
· Assist the Payroll Department with pre-payroll review and processing, shipments, and tracking
· Partner with the Accounting team to complete applications on behalf of clients for government incentive programs
REQUIRED QUALIFICATIONS
· Minimum of 3 years of experience as an Office Admin or Communications Manager
· Payroll processing experience
· Strong work ethic and adherence to client and company confidentiality protocols
· Excellent written and verbal communication skills
· Demonstrated customer service skills
· Excellent time management skills, the ability to prioritize work, and the ability to multi-task
· Attention to detail, precision, and professionalism in all tasks and communications
· Ability to calmly handle pressure in a fast-paced work environment
· Ability to synthesize large volumes of information in an organized manner
· Eagerness to learn at all times and flexibility to adapt to shifting business needs
· Ability to work independently with minimal supervision while maintaining productivity
· Knowledge of office management systems and procedures
· Working knowledge of office equipment, such as printers, fax machines, and phone systems
· Proficiency in MS Office (particularly Excel, Word, and PowerPoint)
PREFERRED QUALIFICATIONS
· College degree
· Familiarity with operations of a client-services firm
· Previous experience working for a tax and accounting firm
· Northwest Orange County resident
