The ideal candidate for this position has a strong work ethic, works with minimal direction, learns new software tools quickly and independently, and is comfortable working in a fastpaced, team-focused and dynamic law firm. The Office Assistant is a utility position within the firm that provides general admin/clerical support in a variety of business areas to ensure the smooth operational function of the office. This is an excellent opportunity for someone in school or a part-time worker who would like the opportunity to work within the legal industry and take on a variety of administrative tasks in a growing and dynamic law firm. Primary Responsibilities General office/firm assistance: data entry, research, document formatting, special office projects, scheduling & confirming, and event coordination, Perform all clerical/admin duties as assigned to support the office, including front-office duties and guest relations, Assist with office housekeeping items - prepare conference room for meetings and catering, stock kitchen, conduct supply orders, service copiers and printers with paper and toner, and ensure the common areas remain clutter free and tidy, Assist with ordering office supplies, tracking inventory, issuing and tracking returns, and offsite errands, Retrieve and process incoming mail and work with the LA office regarding distribution and processing, Process outgoing mail and prepare shipping labels for the office, including coordinating pick-ups, drop-offs or any special arrangements or requests, Assist with coordinating/scheduling appointments and creating Zoom meeting links, Assist legal assistants and paralegals with file downloads and uploads, scanning, sorting, and organizing hard copies, and document productions, Provide clerical support to paralegals and legal assistants located in Los Angeles, Provide admin/clerical support to the Firm Administrator, as directed/needed. Skills and Abilities Technical Skills: Microsoft Office (Excel, Word, Teams, and Outlook) and general understanding of cloud-based platforms. Must be comfortable with technology and cloud-based platforms, Attendance & Punctuality: Be consistently at work and on time; arrive at meetings and appointments on time; ensure work responsibilities are covered when absent, Communication: Possess excellent verbal and written communication skills, Customer Service: Respond promptly to attorney and staff requests for service and assistance, Dependability: Follow instructions; complete tasks on time; commit to the hours necessary to complete assignments; work independently when needed, Team Work: Contribute to building a positive team spirit; support everyone's efforts to succeed. Minimum Qualifications  Minimum of a high school diploma required (College degree is preferred, but not required),  Minimum of 1-3 years of experience in a law firm or professional services environment, preferred, Must be able to work in downtown Redwood City on a consistent, agreed-upon schedule.
