    JOB SUMMARY

    The highly visible incumbent is responsible for implementing the mission and vision of D’Youville University while coordinating a robust experience for all campus visitors, in-person and digitally, and acting as the primary liaison between all guests and appropriate University offices. The successful candidate will be a self-starter who thrives amidst an ever-changing and unpredictable work environment and will have demonstrated skills in the areas of customer service, community outreach, organization, social media, and program scheduling. The primary focus of the Coordinator will be to oversee the campus front-door experience and the gallery spaces within Koessler Administration Building. Additionally, this 12-month position will provide organizational support to the offices of the President, Admissions, and the Student Experience. This position reports to the Operations manager and Events coordinator and is expected to work closely with the Office of the President, Division of Institutional Advancement, and Office of Admissions to ensure that the University is “student-ready” and that every guest has the opportunity to be engaged while on campus. This position also works closely with the Human Resources Department when welcoming new employees through the onboarding process.

    PRIMARY JOB DUTIES:

    • Manage day-to-day operations of the front door experience and institutional gallery spaces,
    • Engage every guest with a positive and friendly attitude as guests arrives on campus and coordinate successful transfer to appropriate destinations.
    • Coordinating student work hours and campus visitor schedules.
    • Collaborate with the Division of Institutional Advancement to ensure that scheduled alumni and donor visits are intentional and engaging,
    • Research, understand, and suggest innovative ways to attract traditional-aged college students.
    • Work closely with Events coordinator to assist with events.
    • Recruit, train, and manage student staff assistants.
    • Employee onboarding as well as participating liaison with external stakeholders by selling the institution by promoting our facilities and what we offer.
    • Cross train to provide more support to the President’s office, student affairs, and admissions events
    • Plan, design, coordinate, and implement events on 25live, and manage frequent collaborations and communications with other departments related to the scheduling of campus spaces.
    • Participate in a variety of computer related training programs and maintain an up-to-date position related to all mandatory institutional training programs.

    OTHER JOB DUTIES:

    • Ensure a guest-focused departmental environment with a focus on customer service,
    • Support the overall campus programming model by collaborating with faculty, staff, and student organizations on initiatives and events,
    • Some night and weekend assignments may be required,
    • Other duties as assigned by University leadership

    KNOWLEDGE, SKILLS, & ABILITIES:

    • Thorough knowledge and proven track record in Customer Service or Hospitality,
    • Ability to be comfortable working in a fast-paced environment that may require flexibility and/or regular last-minute adjustments or changes that respond to the face-paced environment.
    • Strong cross-cultural, interpersonal, and writing skills necessary, including the ability to represent the University in a positive way to diverse populations,
    • Technical skills and interests to learn new software systems, such as Microsoft365, Outlook, Zoom, Teams, 25Live, Canva, etc.
    • A demonstrated commitment to promoting a diverse and inclusive community,
    • Ability to work with a wide variety of individuals on campus and in all areas of the community to accomplish objectives, as well as overall interest in frequently +participating in teamwork
    • A proven ability to identify and address problems, exhibit competence in identifying and interpreting needed areas of assessment, display sensitivity regarding personnel matters and the ability to participate effectively in short and long-range planning,
    • A strong commitment to the University’s mission, vision, and story.
    • An interest in being hands-on, particularly as it related to event preparation, oversight of the campus museum, and facilitation of other special projects and tasks as they arise.

    JOB SPECIFICATIONS:

    Education:

    • Bachelors Required in Communications, Hospitality, or other related fields.

    Experience:

    • Appropriate and applicable professional experience within guest relations, customer service, or relevant fields showing progressive responsibilities.

    PHYSICAL & ENVIRONMENTAL REQUIREMENTS:

    • Handle multiple tasks and priorities at once while solving problems and thinking innovatively,
    • Administrative, organizational, and supervisory skills,
    • Extended periods of sitting, standing, stair climbing, and maneuvering objects of substantial weight,
    • Must possess a guest-focused personal philosophy and an amazing sense of humor.
