Job Title: Data Entry Specialist Organization: ANIZ Inc. Reports To: Director of Research and Evaluation
Position Summary
ANIZ Inc. is seeking a detail-oriented and dependable Data Entry Specialist to support data management and reporting across all grant-funded programs, including Ryan White Part A, SAMHSA APP, SAMHSA ARMI, Fulton County, and Cobb County initiatives. This is an entry-level position designed for individuals interested in public health, healthcare administration, or data management. The Data Entry Specialist plays a critical role in ensuring accurate, timely, and complete data entry and documentation that supports program compliance, reporting, and quality improvement efforts.
The ideal candidate is organized, tech-savvy, and committed to accuracy when handling sensitive client information. Prior administrative or data entry experience is required.
Key Responsibilities
Enter client demographic, service, and encounter data into designated program systems (including E2Fulton for Ryan White Part A and other assigned platforms for SAMHSA and county-funded programs) in accordance with required timelines.
Review data entries for completeness, accuracy, and consistency; correct minor errors and escalate discrepancies as needed.
Scan, upload, and organize client intake forms, consent documents, and service logs into appropriate electronic and physical filing systems.
Monitor records for missing or incomplete documentation (e.g., unsigned forms or incomplete fields) and follow up with staff to ensure completion.
Update client records as services are provided, modified, or closed.
Generate basic, pre-built reports (e.g., monthly service counts) as requested by supervisors.
Assist with data quality activities such as identifying duplicate records or outdated information.
Support quarterly and annual reporting processes through data entry, formatting, and verification of reported figures.
Maintain organized electronic and paper filing systems for all programs, including tracking logs for completed and pending documentation.
Ensure compliance with HIPAA regulations and all program-specific confidentiality and data security standards.
Communicate with program staff regarding missing information, data deadlines, and documentation requirements.
Provide general administrative and data support as assigned by leadership.
Qualifications
Bachelor’s degree in Public Health, Healthcare Administration, Information Systems, or related field required; or equivalent combination of education and relevant experience.
Prior administrative, data entry, or records management experience required.
Proficiency in Microsoft Excel, Word, and basic data systems.
Strong attention to detail and commitment to data accuracy.
Ability to learn and navigate multiple data systems with training.
Strong organizational skills and ability to manage multiple tasks and deadlines.
