    Position Summary: The Database & Donor Relations Coordinator manages multiple projects for the IndyHumane Development Department, focusing on maintaining accurate donor records to support the organization's development program. This role ensures timely acknowledgment of donor gifts, responds to donor inquiries, and performs other duties as assigned.

    Essential Duties & Responsibilities:

    • Coordinate the receipt, recording, acknowledgment, and stewardship of all unrestricted, restricted, and in-kind gifts per IndyHumane’s policies, IRS regulations, auditor recommendations, and fundraising best practices.
    • Ensure all donor gifts are acknowledged within ten business days.
    • Manage the organization’s gift processing, including preparing deposits, and entering details into the database.
    • Complete bank deposits and enter gift data into IndyHumane’s CRM.
    • Work with lockbox vendors to ensure timely deposits and recording of direct mail responses.
    • Prepare monthly financial reconciliation and periodic reporting.
    • Record Pet Pantry donations and acknowledge in-kind contributions.
    • Process online donations.
    • Record and acknowledge PetPoint donations in CRM.
    • Prepare honor/memorial cards for tribute gifts.
    • Address donor calls and email inquiries.
    • Maintain detailed documentation for donor info in CRM.
    • Provide administrative support for mailings, special events, data cleanup projects, and other clerical duties.
    • Attend Development team and all-staff meetings.
    • Perform additional duties and special projects as assigned.

    Qualifications:

    • Bachelor’s Degree preferred.
    • 1-2 years of experience with fundraising CRM software.
    • High attention to detail and accuracy.
    • Strong customer service, communication, and organizational skills.
    • Proficiency in fundraising CRM software, Word, and Excel.
    • Ability to prioritize and communicate effectively as a development team member.
    • Ability to maintain donor confidentiality.
