Overview:

DeSales Media Group, a unique mission-driven Catholic media nonprofit, is looking for a highly organized Associate Producer/Administrative Assistant (9-12 Month Position) to join our growing organization. The Associate Producer will be responsible for coordinating and facilitating work between marketing, production, and senior management.

Scheduling and Coordination 

• Sending out invitations to Diocesan Communications Directors which allows DeSales to be in a pro-active, aggressive posture maximizing scheduling opportunities given the challenges of Monsignor Harrington and local ordinaries schedules.
• Follow up reminders via phone and e mails to dioceses. (i.e. coordinating with Executive Assistant to secure interview times for the Bishops) 
• Monitoring and updating internal forms and calendars for DeSales staff 
• Communicating invitation shoot details and shoot status by diocese to DeSales staff 
• Answering questions about the show, logistics, and other issues for Diocesan staff
• Securing details of shoot with dioceses (crew arrival times, cathedral access, changes to bishops schedule)
• Preparing and assembling monsignor advance briefing for each shoot 
  • Assembling the briefing book
  • Gathering production materials 
  • Printing hard copy of bible to deliver to members of the staff

   

• Assisting Executive Assistant in trouble shooting travel changes and challenges
• Assisting alternate priests with travel arrangements, logistics for shoot

Follow Up with Diocese of Brooklyn 

• Making sure materials (completed episodes, raw footage, still photography, sizzle reel) are distributed to dioceses in a timely and organized, and efficient way
• Helping to field follow up questions and inquiries (release schedule, roll out coordination, media strategy)
• Acting as an immediate point of contact for dioceses for DeSales when Executive Producer is unavailable 
• Working with production to ensure that suggested updates and edits are made to final episodes

Internal Coordination

• Working to coordinate deliverables with DeSales staff and departments 
• Maintaining a calendar of scheduled deliverables and timetables and assisting in monitoring completion dates and deliverables 
• Working to help coordinate internal, DeSales communications on "The Chair" projects

Background/ Experience/ Skills

• 2+ years administrative assistant / associate producer experience 
• Someone who promotes teamwork and can foster collaboration across business units 
• Ability to develop and maintain project plans, identify resource needs, and manage project schedule
• Strong communication skills through written and verbal communication, with technical and non-technical audiences, including executives and customers
• Strong problem-solving and problem identification skills to preempt obstacles and conflicts
• Candidate must be thorough and detail-oriented
• Able to work on multiple priorities in a deadline-driven environment
• Must be able to remain calm in pressure situations and adapt quickly to change
• Robust knowledge of the Catholic faith
• Must be able to interact as a representative of DeSales Media with the leadership and staff of different dioceses nationally
