    POSITION SUMMARY:

    Acumen, LLC and The SPHERE Institute are seeking a collaborative and strategic professional to serve as Executive Coordinator. The Executive Coordinator is responsible for exercising independent judgment and considerable initiative to provide a wide range of administrative & managerial support to the Managing Director and COO. The Executive Coordinator will be expected to work well with all levels of internal management and staff, as well as outside clients and vendors.  The work location for this position is in Burlingame, CA.

    RESPONSIBILITIES

    • Provide executive-level support to the Managing Director and COO with a high degree of initiative, judgement, and discretion;
    • Develop and maintain a basic knowledge of all major initiatives of the organization;
    • Manage a complex schedule for the Managing Director and COO and handle frequent reprioritizations that will often require independent decision making;
    • Schedule internal appointments and meetings, coordinate resources, and assemble appropriate reference and back-up material for all meetings – including meetings set by the Managing Director and COO;
    • Schedule Managing Director and COO meetings with high-level leaders of other organizations, with the appropriate combination of assertiveness and deference;
    • Ensure the Managing Director and COO is well prepared for meetings and other internal/external activities;
    • Coordinate travel arrangements: develop itineraries, book flights and hotel arrangements, reserve meeting facilities, and perform other necessary arrangements as needed – including travel scheduled by the CEO.
    • Establish and maintain strong collaborative relationships with all senior members of the firm;
    • Serve as an internal point of contact for the Managing Director and COO;
    • Proactively identify and exercise independent analysis and judgement in prioritizing situations requiring the attention of the Managing Director and/or COO;
    • Track the project deadlines and needs of the Managing Director and COO, while also simultaneously meeting one’s own deliverables;
    • Exchange information, give direction and guidance, and coordinate projects on behalf of the Managing Director and COO;
    • Create meeting agendas and may serve as recorder of meeting summaries with responsibility for ensuring accuracy, logical organization of ideas, distribution to participants and arranging for staff implementation;
    • May sort, read, and annotate incoming mail, documents and email, and attach appropriate file to facilitate necessary action; determines routing, signatures required, and maintain follow-up;
    • Schedules and organize activities within the organization;
    • Analyzes operating practices, such as record keeping systems, forms control, office layout, suggestion systems, personnel and budgetary requirements to create new systems or revise established procedures;
    • Coordinates collection and preparation of operating reports, such as budgets, expenditures, and statistical records of performance data;
    • Other duties as assigned.

     

    REQUIRED QUALIFICATIONS

    • Bachelor of Arts degree, Bachelor of Science degree, or equivalent degree;
    • 2 to 5 years of experience in complex coordination of activities, management, or comparable experience;
    • Excellent written and verbal communication skills;
    • Ability to work independently as well as collaboratively with colleagues. This includes overcoming geographic and other potential barriers to communicating with and making contributions to the team’s work;
    • Exceptional organizational skills, including the ability to manage multiple tasks and projects simultaneously while meeting deadlines;
    • Excellent problem solving skills and ability to present problem analysis as required;
    • Ability to thrive in a fast paced and challenging environment;
    • Capacity to think strategically, critically, and respond analytically;
    • Ability to edit and format documents;
    • Mastery of Microsoft Office suite;
    • Flexibility in working with new issues, topics, and approaches;
    • High level of interpersonal skills to handle sensitive and confidential situations, as this position continually requires demonstrated poise, tact and diplomacy;
    • Strong analytical ability to gather and summarize data for reports, find solutions to various administrative problems, and prioritize;
    • Demonstrated interest in research and tactical activities.

     

     

    Required Skills Required Experience

  • Qualifications
    • Pursuing a bachelor’s degree in a relevant field with a demonstrated interest in the construction management industry.
    • Strong preference given for students studying Civil Engineering or a Construction related field
