Position Overview
Due to strong organizational growth, we are creating a new role for an experienced Deed Preparation & Recording Specialist. This role is critical to our ability to process real estate transactions efficiently and accurately across the Tri-State area, and ideally nationwide. The right candidate will take full ownership of preparing and recording deeds, ensuring compliance and timely execution without needing supervision or training.
The Ideal Candidate
We’re seeking a seasoned professional with hands-on experience in deed preparation and recording—especially within the Tri-State area. The ideal candidate thrives working independently, understands recording processes in New York, and can hit the ground running without oversight.
Key Responsibilities
Prepare accurate and complete deed documentation for residential and commercial properties
Record deeds across counties in the Tri-State area (bonus if capable of all 50 states)
Liaise with county clerks, title companies, and other stakeholders to ensure smooth filings
Review prior recorded documents for accuracy and chain of title
Stay current on local and state recording requirements and deadlines
Maintain detailed logs of documents submitted and confirmation of recording
If based in-office and availability allows, meet with clients to conduct sign-ins as needed
Qualifications & Must-Haves
Mandatory: Proven experience preparing and recording deeds in NY, NJ, or CT
Preferred: Broader experience in national deed recording
Background in real estate, title, law office, or deed processing
Able to work independently—no training will be provided
Familiarity with New York recording systems is essential
Bonus: Ability to meet clients locally (if in Brooklyn or Five Towns)
