    THIS POSITION IS FOR MANN PACKING (A DEL MONTE COMPANY)

     

    PURPOSE OF POSITION:

     

    As the administrative office assistant you will organize files, prepare reports and documents, and offer general staff support. Serve as an initial point of contact, answering phones and greeting visitors. Will assist in payroll, safety, scheduling, and employee attendance functions.

     

     

     

    ACCOUNTABILITIES:

     

    • Monitor employees daily in and out time, ensuring accuracy and making any necessary corrections.
    • Ensure lunches are taken in accordance with legal provisions.
    • Verify weekly totals and review check register for accuracy upon receipt from Mann H.R. to assist in closing payroll for the week.
    • Organize paychecks alphabetically and by groups, distribute on pay day.
    • Make sure all employees’ badges are working properly if not issue a new one as needed.
    • Update termination status, ensure all appropriate documents are completed/retained and any applicable PTO is paid out upon separation of employment.
    • Keep records of all employee personal status changes and update in Ultipro.
    • Maintain garnishments such as medical support notices, ensuring accurate and timely payment.
    • Backup/assist Safety Lead in items below as needed)
    • In the case of an employee injury: ensure completion of applicable forms, including but to limited to Employee Incident Report, Investigator’s Report, Supervisor’s Report and Witness reports.
    • Ensure organization and proper filing of all worker’s compensation documents.
    • Ensure scheduled visits are attended, assist in appointment scheduling as needed and monitor claim status thru closure.
    • Communicate (email) all forms to Mann Packing and Del Monte Safety personnel.
    • Coordinate necessary training/tests, including but not limited to Fire Extinguisher Training, Forklift Certification, Hearing Test and 1st Aid Testing, along with scheduled training thru the Alchemy Program.
    • Upon Receiving scheduled times from manager, compile schedule for following day utilizing attendance log, hours worked thus far for week and ensure specialty functions are filled appropriately.
    • Place calls to employees to give start times to those who are either absent that day, off that day or have already left for that day.
    • Monitor all employee attendance/tardiness and distribute warnings/actions as needed.
    • Keeping track of all employee’s PTO and Attendance points and or hours.
    • Assist the Operations Manager in maintaining inventory of certain production and office supplies and advising timing and quantity of purchases.
    • Confirm receipt of above items and reconcile any packing slips with actual received as applicable.
    • Maintain cleanliness and organization of supply closet daily.
    • Ensure changing room is stocked with necessary items from supply room daily.
    • Maintain cleanliness and organization of office daily.
    • Monitor employee levels and obtain applicants as needed with guidance from Operations Manager.
    • Process and maintain appropriate paperwork for all employees.
    • New hire interviews and orientations.
    • Monitor and distribute employee PPE. Gloves, Glasses, Aprons, Sleeves and any other applicable items.
    • Ensure employees receive the proper work attire (Boots, insulated Jump suits, etc.)
    • Answer phones.
    • Visitor Assistance-receiving, job seekers, sales calls and various other visitors.
    • Ensure applicable visitors complete necessary forms upon entry into facility.

     

    MINIMUM REQUIREMENTS:

     

    • 1 year minimum experience in a clerical role
    • High School diploma or GED from accredited institution
    • Basic Word & Excel skills
    • Bilingual English and Spanish
