    Summary

    Delta Oaks Group is seeking a candidate to coordinate multiple aspects of projects related to remote field inspection teams, including travel logistics, schedule, subcontractors, equipment inventory, and timesheet and expense reporting. This position provides support to management staff and inspection crews as necessary to complete various services, ensuring customer expectations are met while controlling cost and contributing to company and department profitability.

    Positional Responsibilities

    This position is responsible for supporting our tower infrastructure inspection teams, who travel throughout the United States gathering structural component and foundation data of telecommunication facilities, often in difficult and challenging settings. The selected individual should be a strong multi-tasker, as field conditions frequently necessitate fast-paced, dynamic work responsibilities to ensure project completion, client satisfaction, and cost efficiency. Strong verbal and written communication skills are also required, as expedited communication with internal (engineering staff, field inspection teams, management, etc.) and external (subcontractors, clients, travel vendors, etc.) project stakeholders are frequently required.

    Duties

    Proactively track deliverable status, escalating late/delayed project status as required

    Enter data regarding target and completion dates for field work, project status, and other project management metrics into the company database, addressing and escalating issues as required

    Ensure time sheets are completed accurately and in a timely manner

    Compile/Review/Validate expense reports

    Coordinate logistics of field crew travel schedules, promoting cost- and schedule efficiency in accordance with company travel expense guidelines

    Coordinates travel needs for field crews; schedules hotel, flight, and car rentals and prepares itineraries; ensures that travel needs are met within the constraints of the company travel budget

    Review and validate vendor expenses, including subcontractors, travel vendors, etc.

    Ensure crews are dispatched and routed in accordance with project requirements

    Maintain records of equipment inventory, calibration and safety inspection/replacement requirements in accordance with company established life-cycles

    Act as an escalation point for field service related issues

    Promote a team environment by cultivating relationships between each crew, serving as a liaison between field and office personnel, and illustrating how individual team members affect the success of the entire project

    Responsible for the cost-effective and timely resolution of complex travel issues

    Assist in the development of protocols and standard operating procedures for items such as travel scheduling, field crew coordination, and report compilation

    Coordinate with customers and internal managers regarding report compilation and deliverable submittal

    Demonstrate effective communication skills and professional demeanor while interacting with clients, co-workers, landowners, client representatives and regulatory & safety officials

    Computer Software Experience

    Knowledge of Microsoft Office, particularly Word and Excel are required

    Experience/Minimum Requirements

    One (1) to three (3) years of experience in the telecommunications inspection field is preferred

    One (1) to three (3) years of experience in a similar project coordinator or project management position is required

    Demonstrated ability to communicate effectively with co-workers, contractors, clients or their representatives

    Knowledge file management, transcription, and other administrative procedures

    Ability to work on tight deadlines

    Demonstrated understanding of project management concepts

    Educational Requirements

    Associates (2-year) degree is required, a bachelor’s degree in business, administrative, or relate scientific field is strongly preferred.
