The Dental Front Office Coordinator is the first and last point of contact for our patients. This role is responsible for delivering a seamless, friendly, and efficient patient experience from check-in to check-out, while also supporting scheduling, billing, insurance coordination, and administrative systems. *Dental practice experience required
Key Responsibilities
- Greet and check in patients with warmth and professionalism
- Answer phones, manage voicemails, and route calls appropriately
- Schedule appointments and manage provider calendars using Dentrix Ascend
- Collect patient payments and provide accurate financial estimates; Fee-for-Service practice offering exceptional personalized care with advanced technology & materials.
- Verify insurance benefits and communicate clearly about out-of-network policies
- Maintain accurate digital records and ensure all forms are up-to-date
- Follow up on unscheduled treatment, cancellations, and recare
- Support patient communication workflows: reminders, confirmations, follow-ups
- Participate in daily huddles and team meetings
- Cross-train and support other front office roles as needed
Qualifications
- Minimum 2 years of front office experience in a dental practice required
- Proficiency in Dentrix Ascend preferred
- Strong verbal and written communication skills
- Detail-oriented with excellent organizational skills
- Professional, friendly, and calm under pressure
- Knowledge of dental insurance, billing, and collections is a plus
Performance Expectations
- Phones answered within 3 rings using the office scripting standards
- Schedule maintained to 95%+ productivity with minimal last-minute cancellations
- 100% accuracy in patient check-in/check-out process
- Financial arrangements and estimates presented clearly and documented
- Positive contribution to practice initiatives and focus
