We are a dynamic and rapidly expanding Dental Support Organization (DSO) led by passionate dentists and entrepreneurs. With 7 practices across Southern California, we are committed to building a patient-centered, team-driven culture that transforms the dental experience. As we scale, we're looking for a detail-oriented, process-driven Dental Office Coordinator / Administrative Lead to help strengthen our systems, ensure compliance, and support the continued growth of our Rancho office.
The Dental Office Coordinator / Administrative Lead is a systems and quality control role — not a traditional front desk position. This role supports administrative control, front office accountability, and operational efficiency, allowing the Office Manager to remain focused on treatment coordination and practice growth.
Schedule: M-F 9am – 6pm
Required Qualifications
High School Diploma or equivalent required
2+ years of dental front office or administrative experience
Strong understanding of dental insurance, billing, and accounts receivable
Experience reading and interpreting AR aging reports
Familiarity with dental software (Open Dental and/or Practice by Numbers preferred)
Detail-oriented and process-driven with a quality-control mindset
Strong communication and accountability skills
Ability to identify inefficiencies and implement improvements
Job Responsibilities
Oversee daily front desk flow and ensure schedule efficiency across the practice; maintain accurate and complete patient records and documentation
Perform routine chart audits to verify accuracy and compliance; ensure clinical notes, x-rays, and documentation meet office and regulatory standards; flag and follow through on missing or incomplete records
Monitor AR aging reports and identify problem accounts; coordinate with the billing team to resolve outstanding balances; track insurance delays, denials, and follow-ups to resolution
Support the Office Manager with reporting, KPI tracking, and accountability systems; monitor key performance indicators including production, collections, and case acceptance; identify operational inefficiencies and assist in implementing solutions
Comply with all HIPAA, OSHA, and infection control standards
