Key Responsibilities
Financial & Insurance Management
Oversee accounts receivable, profit & loss statements, and daily financial operations.
Manage insurance billing, claims attachments, eligibility verification, and appeals.
Prepare accurate co-pay estimates, invoice patients, and coordinate payment arrangements.
Patient Accounts & Collections
Collect patient co-pays and outstanding balances with professionalism and empathy.
Set up and monitor patient payment plans.
Proactively follow up on overdue accounts to ensure timely payments.
Patient Records & Compliance
Maintain accurate and secure patient records in compliance with HIPAA.
Organize and manage forms, consents, and post-operative documentation.
Customer Service & Communication
Deliver exceptional, concierge-level service from first contact through post-treatment follow-up.
Build lasting relationships with patients that drive satisfaction and retention.
Manage communications via phone, text, and email with warmth and efficiency.
Greet and assist patients in the office, ensuring comfort and seamless care.
Scheduling & Coordination
Optimize scheduling to maximize efficiency and productivity.
Manage patient acquisition, recalls, and follow-up appointments.
Proactively fill open appointment slots to keep the schedule full and thriving.
Qualifications
Prior experience in dental administration is required.
Strong knowledge of dental terminology, coding, and procedures.
Proficiency with Softdent and Dental Exchange (or similar software).
Excellent multitasking, organizational, and communication skills.
Ability to work both independently and as part of a high-performing team.
