Job Summary
We are looking for a detail-oriented Operations Coordinator to support our Rancho office. This role is focused on administrative control, front office systems, and accountability tracking, allowing our Office Manager to stay focused on treatment coordination and growth.
This is not a traditional front desk role — it is a systems and quality control position.
Key Responsibilities
Front Office & Administrative
Oversee daily front desk flow and ensure schedule efficiency
Maintain accurate patient records and documentation
Verify completeness of charts and treatment documentation
Quality Control & Chart Audits
Perform routine chart audits for accuracy and compliance
Ensure clinical notes, x-rays, and documentation meet standards
Flag missing or incomplete records and follow through
Aging & Collections Oversight
Monitor AR aging reports and identify problem accounts
Coordinate with billing team to resolve outstanding balances
Track insurance delays, denials, and follow-ups
Operational Support
Support Office Manager with reporting and accountability systems
Track KPIs (production, collections, case acceptance, etc.)
Identify inefficiencies and help implement improvements
Ideal Candidate
Dental front office or administrative experience (required)
Strong understanding of insurance, billing, and AR
Detail-oriented and process-driven (this is critical)
Able to hold systems accountable, not just “stay busy”
Comfortable working alongside a high-performing Office Manager
