GOLF OPERATIONS-ADMINISTRATIVE ASSISTANT
PURPOSE:
Provides administrative support for the Golf Operations management team, and provides outstanding customer service to members, guests, and fellow team members.
ESSENTIAL DUTIES:
Provide administrative support to the Director of Golf and Director of Retail: Answer phone lines; monitor voicemails and e-mails, and provide prompt follow up; schedule meetings; assist with managing calendar and coordinating travel; prepare and distribute documents and reports, such as P-Card and Club Account reconciliation, and T&E expense reports.
Answer phone lines for the Assistant Director of Golf and Merchandise Manager when they are out of office.
Provide a cheerful and welcoming greeting to all visitors; anticipate, fulfill and exceed expectations; offer beverages and a seat to those arriving for meetings.
Maintain organization and cleanliness of desk, conference table, and printer/'kitchen' area
Attend Head Professional meetings; prepare agenda; compile and distribute meeting minutes.
Retail-related tasks include: tag merchandise, contact vendors to place orders, process special orders, member billing, prepare embroidery sheets.
Maintain Keys in POS system.
Provide tournament and event support.
Work closely with other departments to facilitate positive outcomes.
Order office supplies.
Any other duties/assignments that may arise or be requested by the Golf management team.
EDUCATION REQUIREMENTS OR EQUIVALENT:
High School Diploma or higher.
SPECIALIZED KNOWLEDGE:
Must have good familiarity with golf. Proficient with Microsoft Programs. Must be computer literate with hands-on working knowledge of current and acceptable filing techniques; must have command of letter writing and document preparation skills, including grammar and style, according to normally accepted standards.
PREVIOUS EXPERIENCE REQUIRED:
Experience in office skills, such as filing, computers, letter writing and document preparation, etc. Prior experience in the golf industry preferable.
WORKING KNOWLEDGE TO BE ACQUIRED ON THE JOB:
Desert Mountain and departmental standards and policies & procedures.
UNUSUAL PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:
Sitting for long periods of time. Lifting boxes, some in excess of 20 pounds.
