    Design Room Coordinator

    Position Type: Full-Time. 30-38 hours per week on average, with additional hours during the holiday season. Weekend availability required. Location: Walter Pine Floral Studio

    About the Role

    Walter Pine is seeking a creative and highly organized self-starter with a positive attitude and a love for flowers and plants. The Design Room Coordinator plays a key role in ensuring smooth daily operations in our design room, overseeing order flow, coordinating deliveries, and supporting our floral team. Retail and customer service experience are strongly encouraged, and a foundational knowledge of flowers and plants is preferred.

    Key Responsibilities

    Order & Workflow Coordination

    Organize and prioritize daily orders, ensuring timely completion of business deliveries and early pickups

    Strategize delivery routes and coordinate details with drivers or courier services

    Manage the flow of orders from the design room for pickups and deliveries

    Keeping Shopify, Zapiet & Shipday current with order status. (Marking orders ready, fulfilled)

    Design Room & Inventory Support

    Assist with flower processing and vase preparation

    Prepare order packaging, cards, labels, and wrap details for outgoing orders

    Partner with the Design + Shop team to maintain floral availability and Grab & Go selection standards

    Work alongside the Design Room Manager and Lead Florist to ensure floral and supply orders are placed ahead of holidays, weddings, and events

    Help maintain design room organization, cleanliness, and restocking of both design room (upstairs) and design/packaging storage areas in basement.

    Complete a weekly packaging inventory and identify and reorder when levels hit reorder numbers

    Customer & Team Communication

    Answer phone calls and process floral orders

    Communicate with the Shop team regarding daily pickups, floral availability, and Grab & Go status

    Contact customers for order pickups, special requests, or subscription follow-ups as needed

    Provide product knowledge and assistance to customers in the shop

    Support plant care, including watering, spritzing, pruning, and potting as needed

    Relay customer feedback and process insights to management to support continuous improvement

    Preferred Skills, Qualifications, and Attributes

    Exceptional organizational skills with keen attention to detail and the ability to prioritize tasks efficiently

    Strong communication skills, including comfort with phone interactions and the ability to engage with customers in a warm, professional manner

    Tech-savvy with experience using Google Workspace (Drive, Excel) and POS systems such as Shopify or Square

    Ability to multitask and stay composed in a fast-paced environment while delivering a high level of customer service

    Self-motivated and proactive, able to anticipate needs, identify tasks, and work independently without constant direction

    Outstanding interpersonal skills, with a natural ability to connect with people and create a welcoming experience

    Building rapport—ideal for fostering relationships with our broad network of regulars and “Pine Pals”

    Brand ambassador, this role frequently serves as the first point of contact for customers and clients

    Additional Details

    Schedule: Tuesday–Saturday, 10 AM–5/6 PM

    Reports to: Design Room Manager

    Collaborates with: Lead Florist, Florists, and Shop Manager

    Other Notes

    Floral design experience is not required, but the role may include training in basic floral techniques based on the individual’s interest. The primary focus of this position is on operations, organization, and logistics management to ensure seamless workflow in our floral studio.
