    About the Pantry

    The Pantry is the only weekly choice food pantry available to residents of the 21 northern Westchester communities we serve. It provides three in-person food distributions a week and bi-weekly home deliveries. Our staff and volunteers serve several hundred area households weekly. Our mission is nourishing our neighbors in need, and we envision a northern Westchester community where everyone has enough nutritious food and is empowered to thrive.

    Position Summary

    The Development Associate is a key member of the fund development team responsible for ongoing administrative support in the areas of donor communications, gift anagement, and event coordination. Focus areas include managing the CRM (Customer Relationship Management) database ensuring that it is the centralized, digital repository that stores all customer and prospect data including contact info, interaction history, purchase records, and preferences. The Development Associate participates in the administration, creation, and implementation of efficient, impactful processes that help to meet and exceed our stated development goals. This position is based in the Mount Kisco, NY office and reports to the Director of Development.

    Job Responsibilities:

    Development & Donor Data

    Serve as an administrator for the database platform; this includes data entry, clean up, receipting, apply proper coding and generate accurate mailing lists.

    Ensure the timely issuance of personalized donor acknowledgments and receipts (both physical and digital)

    Manage the fundraising database to effectively process all gifts, pledges, and payments.

    Assist in prospect and donor research and profiling

    Help to manage social media posts

    Help coordinate department reports and needed fundraising efforts

    Execute queries and prepare mailing lists for department mail and email campaigns

    Provide logistical support for all special events, donor cultivation, and appreciation events

    Support day-to-day operations in a fast-paced environment with independent judgment and discretion in handling confidential and sensitive material

    Support the Director of Development in all aspects of development as needed and perform other development duties as assigned.

    General Leadership & Mission Support

    Maintain strict legal and ethical integrity, ensuring the privacy and dignity of all guests, donors, and volunteers is protected in every administrative transaction.

    Participate in staff meetings to contribute to long-term strategic planning and provide insights into improving organizational processes.

    Requirements/Qualifications:

    Experience & Skills

    Administrative & Data Excellence: Proven experience in office administration, data management, or "back-office" operations within a professional environment. Experience with donor databases (e.g. Donor Perfect, LGL, GiveButter) or CRM systems is highly preferred.

    Ability to manage and troubleshoot digital platforms

    Technical Savvy: High proficiency with Google Workspace and Microsoft Office Suite of Programs (specifically pivot tables, excel spreadsheets; data merges in Word, PowerPoint. etc.)

    Organizational Mastery: A self-starter who is exceptionally organized and detail-oriented; must be capable of identifying operational bottlenecks and managing multiple data sets autonomously.

    Professional Communication: Exceptional written and verbal communication skills to serve as the professional first point of contact for The Pantry and to assist the Executive Director with high-level reports and presentations.

    Qualifications

    Ability to form relationships with a diverse group of people

    Self-starter who is comfortable handling multiple simultaneous assignments in a fast-paced environment

    1-3 years of experience in a nonprofit (preferred) or similar philanthropic organization

    Previous exposure to fundraising and development preferred

    Commitment to the nonprofit sector

    Experience with data management or transferable skills with a proven track record of success

    Experience creating social media postings

    Strong communication and writing skills

    Excellent computer skills

    Proficient in Excel, Word, & PowerPoint skills including using Pivot Tables and creating excel formulas & pivot tables

    Strong Canva, Constant Contact and Hootsuite skills a plus

    Skills tests in proficiencies are required
