Chelsea based commercial real estate company is seeking an officer manager/executive assistant that is a well-organized, hardworking and self-motivated individual
The office manager is the face of the firm and is responsible for all administrative duties required to run a small office
The right candidate is not afraid of repetitive tasks, double checks their work to ensure accuracy and precision and must be personable and presentable, detail oriented, prompt and dependable as well as dedicated and organized
RESPONSIBILITIES:
· Field phone calls
· Respond to tenants needs, ensuring that administrative and building staff resolved problems promptly
· Monitor and order general office supplies as needed
· Process invoices for supply orders and maintain office inventory
· Prepare memos and notices
· Maintain all office paperwork, filing and digital
· Monitor tenant insurance expirations
· Various front desk duties & general administrative tasks assigned
· Ensure office equipment is adequately maintained; contact and coordinate with vendors for service or repair
QUALIFICATIONS:
Candidate must have 2-5 years’ experience of administrative or office management experience (preferred in Real Estate)
Strong attention to detail and customer service skills
Extremely tidy with the ability to maintain a clean and organized office
Must have excellent MS Word, Excel, Outlook, outlook calendar skills as well as strong typing skills
Excellent phone manners and interpersonal skills are also a requirement
Experience in Real Estate, familiarity with Yardi Property Management Software, experience with NYC DOB & ECB departments and Notary Public certification a plus!
In light of the pandemic, our office is currently operating on a Hybrid work schedule. Employees are in person 3 days per week and work from home 2 days per week.
