About the position: Status: Full-Time Reports to: Assistant Director of Admissions DigiPens Office of Admissions is currently seeking an Admissions Coordinator to work with the Admissions team in assisting our incoming students in reaching their educational goals. The Admissions team assists all domestic and international undergraduate, graduate, non-matriculated studies, change of majors, and readmission applicants. The team also maintains the integrity of the admissions files and upholds admissions requirements across all applicant-types. Our Admissions Coordinator will have the following qualities: * Strong attention to detail * Excellent written and verbal communication skills * Enjoy alphabetizing and preparing paperwork because he or she realizes that this is a critical step in impacting the lives of incoming students * Have a positive, outgoing attitude and willingness to go the extra mile The DigiPen Admissions team is responsible for the following tasks. Duties will be assigned equally, typically pre- and post- admissions decision. * Daily printing new applications and making initial contact with applicants to see if they have any questions or need assistance with the next step of the application process * Daily processes incoming applicant mail and documentation including recording it into DigiPens Student Record System and filing in applicants file * Daily cross references new applications with unaffiliated documents and prepares mailers for applicants who have submitted application materials but not yet submitted an application. * Daily responds to assigned Admissions email as appropriate * Periodically contacts applicants to encourage them to complete their applications within the preferred time-frame * Reviews applicants current status and extends the application deadline or cancels applications as necessary * Ensures that applicants submit official documentation in all cases necessary * Ensures that all required documents are received and filed accurately * Assists in maintaining the integrity of the Admissions Office files, documents, and databases * Ensures that all files are boxed up, labeled, and stored at the end of each application cycle for up to 5 years * Enforces admission requirements and evaluation standards * Obtains, imports, and secures test scores through online delivery and test disks * Creates new application files as needed * Communicates and corresponds with applicants through email, telephone, and Skype * Responsible for ensuring admissions voicemail messages are answered promptly * Ensures that all applicants receive the appropriate paperwork upon having their application evaluated, including international student paperwork, copies of their enrollment agreements, and other correspondence to accepted/denied/deferred students upon initial decision * Prepares mailers, calling lists, and emails for accepted students to maintain contact and encourage a decision in a timely manner * Maintains consistent and regular contact with enrolled students per the pre-determined communication plan to keep interest and awareness of school events/needs, disseminates all necessary information to accepted and enrolled students * Regularly pulls completed applications and prepares and delivers them to the appropriate evaluator * Inputs the decisions into the Student Record System and sends appropriate mailers * Assists with information sessions (one Saturday a month) * Assists with events like Orientation, Preview Days, the Accepted Student Open House, and may assist in representing the school at outreach and recruitment events as needed * Assists with Admissions school tours and visits as needed. * Other duties as assigned Qualifications Required: * Bachelor's degree required * Computer knowledge of MS Office and proficiency with new technology * Ability to identify and initiate projects * Demonstrated outgoing and enthusiastic personality with well-developed written and spoken communication skills * Superior organizational ability and attention to detail are essential * May need to lift up to 50lbs Preferred: * At least one year's previous experience working in the admissions office or other student services office of a higher education institution, with an emphasis on student recruitment * Knowledge or interest in the fields of video game development, animation, or computer engineering is highly desired * Experience with international transcripts a plus Perks In addition to all of the usual benefits, such as medical, dental, and vision insurance, which full-time employees receive after three months of employment, DigiPen employees also receive a bonus week of vacation between Christmas and New Years.
