    The Frazer Firm, P.A. is a boutique business law firm in Jupiter, Florida seeking a Legal Administrative Assistant to support the firm's daily operations and serve as the primary point of contact for clients, referral sources, and opposing counsel. You will support the firm owner directly, manage client communications, process billing, coordinate intake, and maintain the systems and procedures that allow our attorneys to focus on delivering exceptional legal counsel. Responsibilities: • Manage the firm owner's calendar and firm master calendar, ensuring all appointments, meetings, and commitments are tracked and protected with zero tolerance for scheduling error • Serve as the first point of contact for clients, referral sources, and opposing counsel, providing consistently professional and warm communication across all channels • Oversee new client intake from initial inquiry through engagement letter execution, including Lawmatics CRM management, follow-up sequencing, and new client onboarding materials • Manage monthly billing cycles, retainer replenishment, and collections follow-up in coordination with the firm's bookkeeper, maintaining accurate records in Clio • Coordinate attorney assignment packages and track deadlines under the direction of the firm owner • Draft, implement, and maintain firm policies, procedures, and operational systems ensuring consistent execution across all staff • Manage the firm's Lawmatics CRM platform, including lead tracking, referral source follow-up, and client communication workflows • Assist with coordination of the firm owner's business development calendar, including scheduling of meetings and professional events with referral sources and prospective clients • Monitor office technology systems and manage vendor relationships to ensure all systems remain operational • Assist with onboarding new staff and attorneys, providing orientation on firm systems, procedures, and software including Clio and Lawmatics • Manage office supply inventory and vendor accounts to ensure the office remains fully equipped and operational Qualifications: • Minimum three years of administrative experience in a law firm, legal department, or professional services environment • Demonstrated proficiency in billing, invoicing, and collections processes, preferably in a legal context • Experience with practice management software, preferably Clio; CRM platform experience a plus • Exceptional attention to detail with a track record of accuracy in client data, billing records, and deadline management • Proven ability to execute established systems and procedures independently without requiring daily direction • High comfort level with consistent, structured, accuracy-dependent work • Strong written and verbal communication skills with a professional, client-first demeanor • Proficiency in Microsoft 365 including Outlook, Teams, Word, and Excel • Demonstrated discretion in handling confidential client and matter information • Associate's degree or higher preferred; equivalent experience considered Compensation: $55,000 - $70,000 yearly
