Director of Coordination

Position Overview
We are seeking a dynamic, emotionally intelligent Director of Coordination to lead and mentor a high-performing, multilingual team. This team is responsible for scheduling, communication, service coverage, and incident resolution. The ideal candidate is a strong operational leader with proven management experience, skilled at holding people accountable, analyzing reports, and creating efficient systems.
You’ll be at the heart of our coordination department—driving operational efficiency, ensuring smooth service delivery, and fostering a culture of accountability and collaboration.
Key Responsibilities
Lead, support, and inspire a team responsible for scheduling, daily operations, and communication.
Ensure full coverage of services, including proactive management of last-minute or emergency changes.
Develop and enforce workflows for accurate and timely scheduling and reporting.
Monitor service quality and ensure adherence to organizational standards.
Oversee payroll preparation and documentation accuracy.
Implement systems for efficient communication, documentation, and tracking.
Resolve incidents and service disruptions with a calm, solution-oriented approach.
Serve as a visible, accessible leader capable of making sound decisions under pressure.
Collaborate cross-functionally with HR, compliance, and other teams to improve processes.
Required Qualifications
Minimum 3 years’ leadership experience managing a multicultural team in a high-volume, fast-paced environment.
Demonstrated ability to mentor and coach staff, hold team members accountable, and have direct but empathetic conversations.
Strong operational management skills with proven success in scheduling, incident handling, and service continuity.
Tech-savvy and highly organized; comfortable using Microsoft Office, spreadsheets, and operational platforms.
Excellent interpersonal, written, and verbal communication skills.
Ability to analyze operational reports (coverage gaps, overtime, missed shifts) and take timely action.
Committed to full-time, on-site work with after-hours availability for urgent matters.
High emotional intelligence, cultural sensitivity, and a proactive, can-do attitude.
Preferred Qualifications
Experience in fast-growing organizations, startups, or service-based industries.
Fluency in Spanish and/or Yiddish strongly preferred.
Skilled in Excel, Smartsheet, or similar tools.
Experience in recruitment, staff engagement, and retention strategies.
Background in developing or leading training programs, SOPs, or audits.
Comfortable working with diverse client populations and developing culturally responsive workflows.
