Director of Operations & Marketing / Listing Manager / Real Estate Executive Assistant This role is the backbone of our team’s systems. You’ll support the lead agents and ensure every property listing and buyer closing runs flawlessly from prep to close, as well as oversee marketing projects. You’ll coordinate vendors, manage our transactional systems, and empower the assistant. Only those candidates who meet the criteria will be contacted. • A cover letter introducing yourself • Tell us why you think you would be a great fit for this role, and describe the last two employers you had and why you loved and/or did not love working for them • Your resume • Your salary expectation Responsibilities: • Manage listing and escrow workflows/checklists: intake, vendor coordination, prep, launch, closing • Maintain and improve systems (Asana, GDrive, MLS, CRM) by documenting procedures for each stage • Lead vendor relations—scheduling, contracts, invoicing, reimbursements • Draft or review listing marketing copy, photography, open house materials, postcards, website pages • Oversee marketing assets, events, newsletters, blog posts, case studies, social content, and analytics • Conduct team and project management meetings • Train, supervise, and delegate to an assistant • Onboard new agents/admin staff and manage the internal knowledge base • Provide an executive level of administrative support to the team Qualifications: • 2-3 years experience providing administrative support in a personal assistant role, or similar • Prior experience in real estate is a bonus About You • 3+ years in a fast‑paced real estate or project/operations role • Exceptionally detail‑oriented with strong systems thinking • Excellent written and verbal communicator • Background and/or strong interest in marketing execution • Tech proficient (such as Asana, CRM, MLS, Google Suite, DocuSign, social platforms, basic Canva) • Proactive, autonomous, process-oriented, and solution-driven mindset • Comfortable with clients and vendor-facing • Fun and happy • Live in SF (or within 30 minutes) and available to occasionally work evenings/weekends Compensation: $100,000+ (Salary plus bonus DOE)
