Responsibilities: Architect and Maintain Operational Excellence • Own, improve, and enforce the systems and SOPs that allow agents and staff to deliver a world-class client experience at scale — including listing workflows, CRM optimization, lead tracking, onboarding checklists, and agent enablement. Lead the Daily Engine of the Business • Manage the principal broker’s calendar, inbox, and internal task workflows to ensure top priorities are executed quickly and effectively across all business channels — sales, marketing, leasing, and PM. Empower Agent Success Through Infrastructure • Ensure agents can operate at their highest skill level by removing operational friction, troubleshooting tech tools, coordinating listing prep, and ensuring every team member is resourced, trained, and supported. Own Leasing Strategy & Property Ops • Manage leasing for a 40+ unit portfolio, including communication, coordination, turnovers, and systems updates — all with exclusive commission rights. Ensure this arm of the business operates with the same excellence as the sales side. Drive Tech & AI Adoption for Scale • Serve as a systems thinker and process optimizer — leveraging AI tools, automations, Zapier, and analytics platforms like Sisu to remove manual work and boost the output of the entire organization. Steward the Team Culture & Growth Plan • Support onboarding and professional growth initiatives for agents and support staff. Help create a culture of performance and belonging by embodying our values of integrity, ownership, support, and execution. Track and Report on Operational KPIs • Monitor and report on key success metrics (lead conversion, ticket close rates, listing timelines, agent onboarding progress, etc.) to identify friction points and support strategic decision-making with the team leader. Qualifications: • Active Massachusetts real estate license (required) with working knowledge of transaction and leasing processes • 3+ years of experience in operations, EA/Chief of Staff, or real estate team support , ideally within a fast-paced or high-volume environment • Proven ability to build, manage, and optimize systems and workflows using platforms like Buildium, Sierra Interactive, Follow Up Boss, Sisu, Motion, and Google Workspace • Demonstrated ownership mentality — you don’t wait for instruction, you solve problems, drive decisions, and follow through to completion • Strong communication, project management, and tech troubleshooting skills — you're the go-to person when “things need to work right” • Passion for team success and agent enablement — you thrive when others succeed because of the support and clarity you provide • Comfortable being in-office full time and available for weekend property emergencies, vendor scheduling, and occasional courier tasks Compensation: $68,000 - $93,000 yearly
