    Job Summary: As the Event Director for our prestigious Warwick Hills Golf & Country Club, you will be responsible for the planning, coordination, and execution of a wide range of events, including weddings, corporate meetings, golf tournaments, and social gatherings. You will play a vital role in providing exceptional experiences for our members and guests, ensuring every event reflects the club’s standards of excellence and hospitality. Hiring is dependent on a background check.

    Key Responsibilities:

    Event Planning and Execution:

    Oversee the planning and execution of all club events, from conception through to completion.

    Collaborate with clients to create tailored event experiences that meet their needs and preferences.

    Manage event logistics, including Food & Beverage, audiovisual needs, décor.

    Responsible for Ad-Hoc communications with Food & Beverage Manager & Executive Chef.

    Manage and execute orders & completion of all event layouts, buffet cards, place cards, decorations and linen orders.

    Complete and communicate Banquet & Event information accurately two weeks out.

    Banquet & Events need to have all information including but not limited to room & buffet layouts.

    Share final information with staff members 1 week out prior to event.

    Manage weekly/monthly/annually event calendar.

    Oversee and ensure accurate individual event folders.

    Responsible for overall decoration inventory.

    Oversee the event during event scheduled times.

    Budget Management:

    Develop and manage event budgets, ensuring cost-effective execution without compromising quality.

    Attach all invoices to Jonas Events.

    Oversee the information included on all event invoices.

    Oversee billing of events including invoicing.

    Close out event billing on accounts.

    Apply event payments.

    Assist and ensure accurate event profit & loss reports.

    Negotiate contracts with vendors and suppliers to secure the best rates and services.

    Sales and Marketing:

    Promote event services to potential clients and generate new business through networking and marketing initiatives.

    Responsible for communicating upcoming event details with marketing.

    Annually update banquet/wedding/golf event packets.

    Responsible for working with the golf pro for updating golf calendar.

    Team Leadership:

    Coordinate with the Food & Beverage Manager, and the team of staff members to deliver high-quality service during events.

    Lead all banquet event order (BEO) meetings with department heads.

    Banquet communication with halfway house & cabana.

    Coordinate with Food & Beverage Manager to conduct regular training sessions to ensure staff are well-versed in event protocols and standards.

    Member and Guest Relations:

    Foster strong relationships with club members and guests to enhance their experience and satisfaction.

    Gather feedback to continually improve event offerings and services.

    Compliance and Safety:

    Ensure that all events adhere to health and safety regulations and club policies.

    Maintain comprehensive event documentation for compliance and reporting purposes.

    Qualifications:

    Bachelor’s degree in Hospitality Management, Event Management, or related field preferred.

    A minimum of 5 years of experience in event planning or management, preferably in a hospitality or country club setting.

    Strong organizational and multi-tasking skills with attention to detail.

    Excellent interpersonal and communication skills, with a customer-focused approach.

    Proficient in event management software and Microsoft Office Suite.

    Ability to work flexible hours, including evenings, weekends and holidays as required by event schedules.
