    Job Description

    The ADMINISTRATIVE ASSISTANT is responsible for providing administrative support to ensure efficient operation of the department. Supports management and staff through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Rely on judgment to plan and accomplish goals with creativity. 

     

    RESPONSIBILITIES

     

    • Answer and direct phone calls during team meetings 
    • Develop and maintain a filing system 
    • Maintain contact and extension lists for department/company 
    • Handle sensitive information in a confidential manner 
    • Carry out administrative duties such as filing, typing, copying, binding, printing, scanning etc. 
    • An understanding of accounting functions and ability to navigate through NetSuite a plus 
    • Submit, reconcile and post credit card payments from insurance and clients 
    • Assist with payment posting  
    • Ensure operation of equipment by completing preventive maintenance requirements; calling/coordinating for repairs; maintaining equipment inventories 
    • Resolve administrative problems 
    • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies 
    • Develop and update administrative systems to make them more efficient 
    • Assist generating or in the preparation of regularly scheduled reports 
    • Assist with research and creation of presentations

     

    THIS IS A FULL-TIME MON-FRI POSITION.

  • Qualifications

    Qualifications

    • High School Diploma or equivalent
    • Excellent computer skills and in particular a high level of proficiency with Microsoft Office (Word, Excel, PowerPoint)
    • Excellent time management skills and ability to multitask and prioritize work
    • Clear communication skills – written and verbal – and able to interact with various cultural backgrounds and ethnicities
    • Strong organizational skills and attention to detail
    • Demonstrate an understanding of meeting preparation and committee process
    • Ability to collect, understand and summarize data
    • Demonstrate tact, initiative, resourcefulness, professional manner, enthusiasm, teamwork and non-judgmental attitude
