    Base of Operations Location: Downtown Pharmacy | 165 William St., New York, NY 10038 Territory Coverage: Greater New York and NYC Area Employment Type: Full-Time Compensation: $65,000 annually, plus performance-based bonus Pay Cycle: Biweekly

    Position Summary

    The Pharmacy Operations Manager / District Support Manager – Specialty Pharmacy Operations is responsible for supporting and optimizing operational performance across multiple pharmacy locations within an assigned territory. This role serves as a key liaison between pharmacy teams, vendors, and company leadership to ensure consistent execution of workflows, policies, compliance standards, and performance expectations.

    This position is ideal for an experienced pharmacy operations professional, Pharmacy Technician, or healthcare operations leader with a strong background in workflow coordination, compliance support, multi-site operations, staff training, and cross-functional collaboration. The role focuses on operational efficiency, reporting accuracy, compliance, customer experience, and the successful implementation of special projects and operational initiatives.

    Key Responsibilities

    Operational Oversight & Execution

    Support and oversee daily operations across multiple pharmacy locations within the assigned territory.

    Ensure consistency in workflow processes, operational standards, and service delivery.

    Monitor operational performance and key performance indicators (KPIs) to support revenue growth and profitability.

    Identify operational inefficiencies and help implement process improvements.

    Assist with staffing coordination and workflow adjustments to maintain productivity and service levels.

    Support inventory control processes, including ordering, reconciliation, audit readiness, and documentation.

    Compliance & Quality Assurance

    Ensure pharmacy operations follow all applicable federal, state, and local regulations.

    Ensure all company policies, SOPs, and operational procedures are followed across locations.

    Confirm that all required pharmacy licenses, permits, and compliance documentation remain current.

    Ensure pharmacies remain compliant with HIPAA destruction processes and other required vendor-supported compliance services.

    Maintain logs and documentation required for compliance and internal reviews, including temperature logs, recall records, invoices, and related operational records.

    Support internal audits, accreditation preparation, quality assurance initiatives, and corrective action planning.

    Maintain strict standards for patient confidentiality, data integrity, safety, and regulatory compliance.

    Field Support & Team Development

    Provide onboarding, training, and ongoing operational support for pharmacy technicians and support staff.

    Act as a resource for workflow questions, operational challenges, and system usage.

    Support leadership with coaching, development planning, and performance feedback.

    Foster a collaborative, accountable, and service-oriented environment across multiple pharmacy locations.

    Vendor & System Management

    Serve as a point of contact between the company, pharmacies, vendors, and pharmacy partners to support smooth daily operations.

    Support the setup, troubleshooting, maintenance, and transition of systems and operational tools.

    Assist with upgrades, process rollouts, and implementation of new technologies.

    Cross-Functional Support, Reporting & Analysis

    Work closely with Finance, HR, and Onboarding teams to support pharmacy operations.

    Support Finance with cash management reporting processes and operational data tracking.

    Communicate updates, issues, and progress clearly across departments and pharmacy locations.

    Assist in collecting and analyzing operational data to support informed decision-making and continuous improvement.

    Business Operations & Program Support

    Assist in the implementation of new pharmacy programs, services, and operational initiatives.

    Support third-party programs, specialty workflows, and related pharmacy operations, including 340B exposure if applicable.

    Contribute to operational strategies that improve efficiency, service quality, patient satisfaction, and business performance.

    Project & Field Operations Support

    Support new site openings, transitions, remodels, and operational rollouts.

    Participate in field visits to assess operations and provide hands-on support.

    Ensure implementation of special projects and assigned operational initiatives.

    Field ride-alongs and in-person meetings are a mandatory responsibility of this position.

    Customer & Patient Experience

    Support resolution of escalated operational and service-related issues.

    Promote high standards of customer service and patient support across all locations.

    Identify opportunities to improve patient, provider, and partner experience.

    Qualifications

    Required

    High school diploma or equivalent.

    3+ years of pharmacy, healthcare operations, or related experience.

    Strong understanding of pharmacy workflow, including retail, specialty, or mail-order environments.

    Experience supporting team operations, workflow coordination, training, or multi-site operations.

    Ability to manage multiple priorities across different locations.

    Strong communication, organizational, and problem-solving skills.

    Comfortable using software systems, dashboards, reporting tools, and basic data analysis.

    Preferred

    Certified Pharmacy Technician (CPhT) or applicable state registration.

    Lead Technician, Senior Technician, supervisory, or operations management experience.

    Experience in multi-site or high-volume pharmacy environments.

    Familiarity with pharmacy systems, inventory management, vendor coordination, and compliance reporting.

    Exposure to specialty pharmacy operations, healthcare programs, or 340B workflows.

    Field-based role with required travel throughout Greater Northern New Jersey and South New Jersey.

    Frequent interaction with pharmacy teams, leadership, vendors, and support departments.
