DEVELOPMENT and GRANTS ASSOCIATE
The Djerassi Resident Artists Program has an exciting opportunity for a Development Associate to join the team to help lead Djerassi into its next chapter, re-imagining the program for the audience of the future. This enthusiastic, organized, ambitious, light-hearted individual will bring excellent written and verbal communication, sophisticated interpersonal skills, remarkable attention to detail and strong administrative proficiency.
This position works closely with the Executive Director and Operations Manager and supports the program’s internal systems, structures, and processes that enable the program to meet and succeed budget and operational goals while maintaining the highest standards of donor satisfaction and overall growth. The Development Associate serves as part of the administrative backbone for a small and energetic staff.
DUTIES AND RESPONSIBILITIES include but are not limited to:
Administration
Provide overall administrative support for the department, including scheduling meetings and rooms, pulling address lists and managing mailings, word processing, copying, record keeping, etc.
Manage communications with all donors, foundations, granting organizations, and board members on development related issues including a bi-monthly report on current status of donations. Monitor and support the ongoing maintenance of DonorPerfect, Constant Contact, and hard files to ensure data integrity and consistency.
Update and maintain accurate and consistent donor records in the Program's database, including documenting meeting debriefs, correspondence, and upcoming actions.
Maintain compliance standards by developing accurate financial records, ensuring strict donor confidentiality and data security, and participating in any program audits.
Fundraising/Grant Writing
Research, prepare and submit grant applications according to required format and schedules, as directed by the executive director and ensure grant deadlines are met
Coordinate with all levels of staff to clarify funding needs and prepare proposals
Assist with grant reporting, compile statistical and informational data for use in proposals as directed
Monitor documents, grant workflow processes, forms, templates, reports and quality data to assure full compliance with grant requirements. Organize, file and maintain documents, correspondence, etc
Facilitate and track donor and prospect move management for active cultivation, solicitation, and stewardship. Help to identify and flag prospects for higher level gifts by recognizing changes in giving patterns, wealth screenings, and additional background research for prospects
Assist with preparation of proposals, donor communications, and other materials as needed.
Development Stewardship and Compliance
Support fundraising team by creating gift transmittals and ensure that all gifts of $500+ are submitted for timely and accurate entry
Working closely with the Operations Manager, ensure that all donors receive appropriate, well-written, and prompt acknowledgement of their contributions
Regularly review and update acknowledgement letter templates for the Development and Finance Assistant to process
Update and maintain institutional, exhibition, and program credit lines through regular review and tracking against fundraising records
With guidance from the Executive Director and Operations Manager, prepare the annual donor list for the Program’s donor wall and annual report
Support Operations Manager with board meeting set up and materials, as needed
Events
Assist with donor and member events, including the annual Artful Harvest event + Auction, by:
Maintaining the department’s events calendar and ensuring all events are accurately recorded and up to date on the organizational calendar
Pulling and formatting invitation lists for digital and print mailings and related communications
Preparing nametags; managing event RSVPs and registration; setting up check-in table and lists; recording guest participation and outcomes in DonorPerfect and other databases
Preparing attendee bios and distributing in advance of events to executive director, senior staff, curators, development committee, and others as appropriate
Providing other event support, as needed
QUALIFICATIONS:
BA/BS preferred, plus two or more years of experience working in development operations or non-profit administration, or equivalent combination of education and experience.
Excellent written and verbal skills.
Highly organized, with strong work ethic and ability to manage time and priorities independently
Keen attention to detail and capacity to quickly understand and remember information about donors, museum exhibitions, public programs, and events.
Ability to thrive in a fast paced, challenging, and rewarding environment.
Skill in navigating different personality types among internal and external constituencies.
Ability to function effectively as a team member and a willingness to participate in activities and assignments that help meet the goals of and objectives of the department.
High level of proficiency with Microsoft Office, including Word and Excel, Adobe software, and MailChimp
Experience working with a donor or membership database, preferably a Blackbaud product.
Enthusiasm for visual art, education, and community engagement, with a commitment to integrity, kindness, discretion, and personal responsibility.
Pay Rate
$42 per hour, 25 hours per week
Work Location
Work hours will mostly be onsite on the ranch in Woodside, CA with additional locations including San Francisco and San Jose based on meetings and events. Reliable transportation is required. Remote work will also be possible based on work needs.
