Title: Document Processor, Print and Mail
Position Summary
The Document Processor (Print and Mail) is responsible for monitoring incoming client data files and accurately processing them through established procedures to generate work orders for the Usio Output Solutions production floor. This position collaborates with multiple internal teams, communicates with clients as needed, and ensures all jobs are properly prepared, verified, and processed according to client specifications and internal schedules.
The ideal candidate is technically proficient, highly detail-oriented, and able to quickly learn internal job tracking systems, data process flows, and operational procedures. They should possess strong written and verbal communication skills, able to troubleshoot processing issues, and work effectively in a fast-paced, deadline-driven environment.
Key Responsibilities
· Monitor incoming client data files and promptly initiate processing according to established procedures.
· Accurately process data files, ensuring job specifications are met while maintaining compliance with data security standards.
· Collaborate with internal teams - including Software Engineering, Sales, and Production - to address questions, clarify requirements, and to resolve processing issues promptly.
· Maintain up-to-date records in internal job tracking systems, ensuring accuracy and timely updates.
· Perform quality checks on processed work orders to verify accuracy and completeness before releasing jobs to the production floor for printing and mailing.
· Identify data and/or processing issues as they arise, escalating complex problems to the appropriate team when necessary.
· Communicate clearly and professionally with internal teams and, when needed, with clients to confirm job details, data discrepancies, and ensure timely delivery to meet production floor deadlines.
Required Qualifications
· Minimum of 1-2 years of experience in data processing, document handling, or a related operational role.
· Proficient with computers and software tools, including Microsoft Office, Adobe Acrobat, secure file transfer protocols (SFTP), data encryption practices, with the ability to quickly learn new software tools.
· Excellent written and verbal communication skills to effectively collaborate with internal teams and clients.
· Knowledge of data security standards and the importance of maintaining compliance.
· Ability to troubleshoot routine processing issues and escalate when necessary.
· Strong attention to detail with a commitment to accuracy and quality in all tasks.
· Highly organized and able to manage multiple tasks in a fast-paced, deadline-driven environment.
Preferred Qualifications
· Experience in the print/mail industry and familiarity with USPS mailing standards.
