JOB PURPOSE:
The Documentation Coordinator Supervisor leads the documentation team responsible for obtaining and managing medical records necessary to support funding and payer requirements for medical supplies. This role oversees daily workflow, staff performance, quality standards, and escalation management to ensure documentation is accurate, compliant, and submitted within established timelines. The Supervisor partners with leadership and cross‑functional teams to support audit readiness, improve processes, and maintain continuity of service while delivering a consistent, high‑quality customer experience.
The pay range for this position is $44,080-$60,610 annual salary. It is not typical for an individual to be hired at or near the top of the pay range and compensation decisions are dependent on the facts and circumstances of each case. The specific compensation offered to a candidate may be influenced by a variety of factors including skills, qualifications, experience and location.
KEY RESPONSIBILITIES:
§ Provide daily leadership and supervision of the documentation team to ensure timely, accurate, and compliant submission and retrieval of medical documentation.
§ Interview, hire, train, coach, and develop staff; conduct performance evaluations and address performance issues as needed.
§ Plan, manage, and delegate workflow to balance workload, meet productivity targets, and achieve service level expectations.
§ Monitor documentation accuracy and completeness to ensure medical necessity and payer requirements are consistently met.
§ Serve as an escalation point for complex documentation issues, customer concerns, and provider communication challenges.
§ Identify, recommend, and implement process improvements to increase efficiency, quality, and consistency of documentation practices.
§ Support and prepare for internal and external audits by maintaining documentation standards and ensuring team compliance.
§ Collaborate with department leadership and cross‑functional teams to maintain continuity of service, order timeliness, and operational accuracy.
§ Ensure team adherence to company policies, HIPAA regulations, and applicable federal and payer requirements.
§ Promote a customer‑focused culture by ensuring timely resolution of escalated complaints and delivery of effective solutions.
§ Utilize Numotion Leadership Principles to perform the job with integrity, compliance, and values consistent with Numotion’s mission.
§ Adhere to employee or customer confidentiality and comply with Numotion’s policies and federal regulations.
§ Always provide excellent customer service for all internal and external customers of the operations. Provide solutions for customer concerns and continually focus on customer service as our top priority.

REQUIRED QUALIFICATIONS, SKILLS, AND EXPERIENCE:
§ High school diploma, GED, or equivalent required.
§ Strong interpersonal skills and problem resolution abilities.
§ Strong ability to assess workload and capacity of staff.
§ Strong customer service skills and knowledge of order process.
§ Knowledge of funding and payer requirements.
§ Ability to work in a fast-paced environment.
