    Position Summary:

    Client Services Representative at DolFUN Dynamics is dedicated to delivering exceptional customer experiences. Our Client Services team serves as the first point of contact for clients and the public, playing a pivotal role in establishing and nurturing relationships with DolFUN Dynamics families. You are the “face” of DolFUN for all of our guests and will be responsible for the first impression we make. From warmly welcoming families upon their arrival at our facility, to assisting with the check in process, finding the right gear and uniforms for their classes, facilitating payments, class transfers, drops, options, explaining DolFUN Dynamics policies, fielding any questions or concerns that may arise, and maintaining the facility’s professional and safe appearance. Every interaction is essential to ensuring that everyone feels like a valued part of our DolFUN Dynamics community.

    DolFUN Dynamics is a premier children’s activity center specializing in developmentally appropriate aquatic and land-based activities. Our mission is to provide a safe and nurturing environment where children can discover their passion for swimming, gymnastics, ninja, and learning, promoting learning through play in our clients’ lives.

    Duties and Responsibilities:

    Responsible for working shifts while the facility is open for classes. Hours to be determined by DolFUN Dynamics

    Greet families with a cheerful smile and attitude as they enter facility

    New and current families to be informed of what to expect at DolFUN Dynamics: remove shoes, check in at kiosk, universal locker rooms, where to gather and then line up for classes, assist with merchandise and proper supplies/uniform for scheduled class

    Answer phones in a friendly professional manner

    Assist with schedule changes requested by clients, DolFUN Dynamics Directors and/or Client Coordinator

    Assist walk in clients and phone calls by creating accounts, registering students, handling financial transactions, verifying student status, assist in any any scheduling needs, interacting with families, providing accurate information and any other client services

    Host tours through DolFUN Dynamics for potential clients

    Ensure all merchandise is processed accurately in client account

    Assist as On-deck Host to organize children and direct them into their proper placement of classes on time

    Responsible for handling clients’ financial transactions and must be able to execute these transactions competently with complete and total honesty and integrity

    Responsible for merchandise inventory. Stocking, sales, and monthly inventory checks. Alert Director when additional supply ordering is required. Fill out forms when needed accordingly

    Help to ensure janitorial tasks are completed on a daily, weekly, and tri-yearly basis. All areas are to be clean and safe at all times. Areas include: the front desk, entry, lobby, bathrooms, locker rooms, downstairs offices, upstairs office, learning center, breakroom, viewing areas, merchandise area, hallways, pool, gym, studio and parking lot. Any and all facility areas given at the direction of Client Coordinator and/or DolFUN Dynamics directors

    Help to incorporate quality theme based decorations in conjunction with our program wide themes. Update or assist in updating bulletin boards, photos, birthday lists, etc.

    Assist in maintaining office supplies: paper, pens, toner, labels, folders, etc. Bathroom/cleaning supplies: toilet paper, paper towels, hand soap, garbage bags, toilet seat covers, bleach, etc.

    Attend department and company-wide meetings/trainings that occur during regular facility closure days

    Read department and inter-department written communication

    Be attentive to company wide announcements, calendar, items, and upcoming events via phone calls, texts, emails or apps such as slack.

    Monitor needs, trends, reactions, and desires of our clients, communicating information with directors

    Maintain professional relationships and boundaries with coworkers, knowing when it is appropriate to delve into deeper conversations with peer(s)

    Dedicated to building cohesive department interactions and a positive working atmosphere

    Knowledge and Skills:

    Familiarity with DD Programs and Operations: A deep understanding of DolFUN Dynamics' programs and operations is essential for effective performance in this role. This includes knowledge of our class offerings, schedules, teaching staff, tuition structures, programs, associated costs, billing procedures, philosophies, and overarching vision.

    Excellent Information Navigation: The ability to efficiently navigate and access information about our classes, schedules, teachers, tuitions, programs, costs, billing procedures, philosophies, and vision is crucial. This skill ensures that you can provide accurate and timely information to clients and colleagues.

    Upbeat and Positive Attitude: Maintain an upbeat, positive, and personable demeanor when interacting with co-workers, students, parents, guests, and potential clients. A positive attitude contributes to a welcoming and supportive atmosphere within the organization.

    Knowledge of DD Policies and Procedures: Demonstrate a comprehensive understanding of DolFUN Dynamics' policies and procedures and the capability to effectively implement them in daily tasks and interactions.

    Proficiency in Office Equipment: Operate basic office equipment with ease, including computers, tablets, printers, copiers, scanners, phones, and other relevant devices. Proficiency with these tools enhances productivity and communication.

    Client Management Software Proficiency: Possess proficiency in using our client management software, allowing for efficient client account management, scheduling, and communication.

    Microsoft Office Skills: Exhibit competence in using Microsoft Office programs, which are commonly used for various administrative tasks. Proficiency in Microsoft programming enhances your ability to perform essential office functions.

    Experience and Qualifications- preferred:

    Work with client relations management software

    High school diploma, GED or equivalent

    1-2 years customer service experience

    Job Requirements:

    Ability to work Weekdays, Saturday & Sunday day and evening shifts as scheduled between the hours of 7:30 AM and 8:00 PM is essential.

    Strong customer service skills with a friendly and approachable demeanor.

    Punctual, reliable attendance with a strong work ethic.

    Excellent communication and interpersonal skills.

    Ability to work independently and as part of a team.

    Basic computer proficiency for reservation and payment processing.

    Experience working with children and families is a plus but not required.

    As a successful candidate, you may have (not required):

    Customer Service experience.

    Experience working in a sports, academic, and / or youth development setting.

    CPR / Lifeguard Certifications are a plus but not required.

    The Details

    Primary hours for this role could be on Saturday through Thursdays 7:30am-8pm.

    Hours/Days may fluctuate seasonally with camps and new programs opening as our new facility expands and will be coordinated in partnership with your manager.

    Additional opportunities may become available based on staffing needs.

    After 60 days of successful employment, DolFUN Dynamics offers group health insurance for hourly staff who work a minimum of 20 hours/week.
