    GENERAL DESCRIPTION / PRIMARY PURPOSE

     

    The Payroll Coordinator is responsible for timely and accurate processing of payroll, which includes entry and verification of payroll data and maintaining internal controls and audit trails.  Coordinator will serve as point of contact for payroll and time and attendance inquiries for assigned groups.  Responsible for collecting, balancing and processing the payroll data for hourly employees, including those covered under a Bargaining Unit.  

     

    MAJOR RESPONSIBILITIES AND TASKS/DUTIES OF THE POSITION

     

    • Serve as primary point of contact for payroll related inquiries and research requests from employees, including password resets to payroll applications
    • Review and process payroll and input documentation from all assigned divisions
    • Prepare and input payroll data (terminations, wage garnishments, benefits withholding, overtime, etc) for transmission; ensure payroll transactions are processed accurately and timely
    • Reconcile payrolls prior to transmission and validate confirmed reports
    • Audit payroll processing reports for errors as well as being responsible for auditing work of co-workers
    • Execute time and attendance processing; audit timekeeping reports
    • Process manual checks as required
    • Maintain an effective records management system; organizing and filing payroll audit reports, and employee payroll files
    • Coordinate the standardization of time and labor procedures and maintenance.
    • Help prepare and process Sick Leave, Union Dues, and United Way, and Positive pay file.
    • Coordinate all time and labor functions for commodities companies which include code maintenance, vendor liaison and training when needed.
    • Collect payroll breakdowns and rosters from foremen and balance to crew field reports and crew rosters.  Enter data into the system and balance.
    • Responsible for payment of all crews in a timely manner, especially at end of seasons.
    • Print and prepare checks for distribution. 
    • Respond to questions and concerns regarding payroll, including customer service at the front desk.
    • Assist in training new foremen and other staff in the policies, procedures and requirements of the Payroll Department.
    • Maintain confidentiality of Personal Identifiable Information (PII) and other personal information.
    • Other duties as assigned.

     

    JOB SPECIFIC COMPETENCIES (KNOWLEDGE, SKILL AND EXPERIENCE REQUIREMENTS)

     

    • 2-3 years payroll experience; experience with seasonal staffing
    • Experience working in a payroll environment with strong internal controls and discipline
    • Knowledge of Federal and State wage and hour laws
    • Intermediate skills in Microsoft Excel and Word; strong computer skills, and understanding of operating systems is required
    • Knowledge of ADP/EV5 is a plus
    • Strong analytical and communication skills
    • Bilingual/biliterate Spanish required
    • Must have the ability to make decisions, appear for work on time, follow directions, interact well with co-workers, understand and follow posted work rules/procedures and to accept constructive criticism. Ability to work in a fast-paced work environment be detail oriented and able to work with limited supervision

     

     

    INTERNAL & EXTERNAL RELATIONS

     

    Internal interaction with Employees, Payroll Staff, HR Staff, Benefits Staff, Labor Relations, Safety Staff, Finance lastly Operations.

    External interactions with United Way, Union, ADP, ADS, Banking Government Agencies

     

    EDUCATION AND CERTIFICATION

     

    High School Diploma required AA degree or higher preferred.

    While performing the duties of this job, the employee is regularly required to sit, use hands and fingers, handle or feel objects, tools, or controls, talk or hear to communicate, as well as maneuver around an array of equipment, bend, stoop and climb stairs.
