  • Responsibilities

    GENERAL DESCRIPTION / PRIMARY PURPOSE

    Under supervision of Credit & Collections Manager, responsible for timely and accurate generation of daily invoices for trade and non-trade receivables.

    Required Skills

    MAJOR RESPONSIBILITIES AND TASKS/DUTIES OF THE POSITION

    • Facilitates record retention, retrieval and storage process for Company.
    • Maintain archived records in accordance with policy and in compliance with State and Federal laws.
    • Manage mailroom, support timely mail delivery and distribution services for all parts of the Company.
    • Receive, sort and send all inbound invoices to A/P in Costa Rica for processing and distribution
    • Assist sales with processing orders held in suspension due to errors
    • Assist sales department with processing credit memos for corrected invoices.
    • Maintain daily sales order error report and provide update report to the SVP of Finance.
    • Oversee the processing of invoices for non-produce customers and brokers.
    • Maintain records on all supply orders for Accounting and Finance.
    • Other duties.

    Required Experience

    JOB SPECIFIC COMPETENCIES (KNOWLEDGE, SKILL AND EXPERIENCE REQUIREMENTS)

    • Two years of work experience in an office or mailroom/shipping
    • Excellent typing skills and speed
    • Strong skills with MS Word, Excel, Outlook
    • Ability to use general office equipment, including 10-key by touch. Ability to understand basic accounting
    • Detailed oriented, organized, quality focus
    • Ability to work with all levels of personnel
    • Strong business relationship with the various freight carrier companies and internal cooler departments.
    • Familiarity with Business Process Management System

    INTERNAL & EXTERNAL RELATIONS

    Internal Relations:  Peer group and immediate supervisor.

    External Relations:  Postal Service personnel, Mail Courier and other mail delivery services

    EDUCATION AND CERTIFICATION

    High School diploma

    PHYSICAL REQUIREMENTS

    Ability to lift up to 50 pounds, climb stairs and ladders, and able to drive a variety of vehicles

    WORK HOUR REQUIREMENT

    Ability to work overtime, some weekends, rotating shifts required.
