    What You Will Be Doing

    A Portal Services Coordinator uses content management software (Microsoft SharePoint Online) to add new sites and content as requested or removes outdated information from the firm’s internal website(s), blogs, or other information portals. A coordinator also supports day to day operation and maintenance of the firm’s third-party cloud-based solutions such as file sharing (Box), collaboration (Microsoft Teams), email marketing automation (Vuture), and electronic signature (DocuSign) applications.

    About This Role

    • Works with case teams, legal departments, administrative departments, interdisciplinary groups and committees to create, configure, and maintain the firm’s intranet, collaboration sites, team sites, and extranets.
    • Builds proof of concept example sites or image mockups (using graphic design software such as PhotoShop or equivalent) simulating how a site may appear.
    • Applies content management knowledge and principals to solve requests through the identification and analysis of business needs. Uses independent judgment and discretion to determine or recommend best course of action based on industry and firm best practices.
    • Creates online forms (using Microsoft 365 Forms or HTML) to capture information, store results in SharePoint lists, libraries, or databases.
    • Provides necessary training and end-user support in coordination with IS Technology Training and IS Service Desk. Assists in the creation, review, and editing of training materials for both internal and external users in support of the sites.
    • Provides intranet content management support by posting daily submissions (including headlines, firm-wide announcements), posting of documents, convert content from other sources (i.e. Word, PDF, and HTML), publishing of web parts, creating and editing of content in intranet-based databases within designated deadlines. Works directly with members of other administrative departments to collect and organize data.
    • Creates, edits and maintains templates for the various legal and administrative workspaces, site collections, and contact management collections. Assists in the customization of templates to meet the changing needs of the practice and the firm.
    • Participates in the development and design strategy of the content management platform.
    • Maintains appropriate security groups and apply security model to the various Content Management Systems, primarily Microsoft SharePoint. Assists teams in determining best security model, implements the model, and trains users and team members to properly execute the security model.
    • Works independently and under direction of Manager and Specialists as needed, assists in the implementation and enforcement of data governance rules across Content Management Systems in compliance with the firms’ related policies.
    • Assists in the maintenance of subject and keyword indexes, development of keyword dictionaries, management of “best bets” and result “spotlighting”, tuning of search results ranking algorithms and other search enabling data.
    • Assists with the testing of Content Management Systems as part of upgrades, development projects or initiatives.
    • Designs interactive web forms with a focus on usability and overall user experience.
    • Contributes to the firm's Service Excellence initiative to consistently improve its image internally and externally. Displays professionalism, quality service and a "can do" attitude to internal members/departments of the firm as well as external clients and vendors via electronic and print correspondence, over the telephone and in-person.

    • Advanced knowledge of HTML and experience with popular content management systems (Drupal, Joomla, Wordpress, etc.).
    • Intermediate knowledge of Adobe Photoshop, Adobe CS, Paint.NET or equivalent graphics software.
    • Intermediate knowledge of online collaboration tools such as Box, Dropbox, OneDrive, or Google Drive.
    • Ability to work quickly, but with great attention to detail.
    • Excellent analytical skills with the ability to identify conflicting or confusing content on the firm’s site(s) and recommend or implement revisions.
    • Effective communication skills to exchange information, respond to inquiries, requests for assistance and ability to train and support end-users.
    • Excellent command of written and oral English and proficient in Microsoft Word, Excel, and Outlook.
    • Excellent organizational skills.

    Education:

    • BA/BS preferred.

    Experience:

    • Minimum of 2 years of web-based content management related experience.
    • Familiarity with document management technologies and legal content preferred.
