    Job Description

    POSITION SUMMARY

    Under the direction of the Donor Relations and Events Manager, the Donor Relations and Events Assistant is a key member of the development team at Feeding San Diego (FSD). This position will assist the development team members through administrative support, coordinate event logistics, support the Donor Relations and Events Manager with special event needs, and contribute to the success of other miscellaneous projects throughout the year as needed.

    Event Coordination – 50%

    • Support in tracking, logging, and identifying in-kind donations for auctions, raffles, etc.
    • Maintain event RSVP lists and collaborate with the Donor Services and Insights Coordinator on attendee briefings
    • Coordinate external vendor payments with the accounts payable team
    • Track attendance and support with attendance activity uploads to Salesforce post-event
    • Support pre-event packing, onsite event setup, and teardown

    Administrative – 25%

    • Maintain and reconcile receipts monthly for senior leaders of the Development Team
    • Assess and respond to internal and external inquiries about supporting Feeding San Diego by answering phone calls and emails
    • Assist with gift entry as needed, particularly during the holiday season
    • Support in tracking inventory of donor stewardship items such as flyers, folders, note cards, and other development materials

    Stewardship – 25%

    • Support development team members with seasonal projects including but not limited to – donor outreach for campaign participation during the summer, administrative tasks during the holiday season, prospect research, etc
    • Prepare monthly reports for the Gratitude Calling Program detailing volunteer call assignments and completion tracking
    • Maintain The Grove Events and Opportunities page by updating volunteer opportunities every other week
    • Help implement stewardship plans for first-time donors to foster retention and deepen connection to the organization’s mission
    • Coordinate stewardship efforts for fund drive donor team captains, helping to strengthen relationships and encourage continued participation
    • Reach out to lapsing fund drive donor team captains from previous year to inquire about renewed participation
    • Create fund drive and virtual food drive pages for the Individual Giving Team for their donors as needed
    • Other duties as assigned

    INTERACTION

    This position interacts closely with development, marketing and communications, programs, operations, and administrative staff, and provides information to staff, donors, prospects, individuals in need, volunteers, FSD board and staff, and others from the community.

    EDUCATION AND EXPERIENCE

    A bachelor's degree in business administration, nonprofit administration, public administration, marketing, or a closely related field, along with one year of experience in an administrative role, project management, event planning, fundraising, or an equivalent combination of education and experience.

    KNOWLEDGE, SKILLS AND ABILITIES

    • Ability to work independently and collaboratively.
    • Ability to develop and sustain positive relationships with donors, team members, and community partners.
    • Strong organizational and project management skills and an ability to work under pressure with tight deadlines.
    • Professional demeanor with an aptitude for analytical thinking and problem-solving.
    • Responsible, well organized, and demonstrating initiative.
    • Excellent customer service skills, both in-person and on the telephone
    • Proficiency with Microsoft Office programs.
    • Be at least 21 years of age with a minimum of three years of driving experience.
    • Be a resident of San Diego County. Feeding San Diego extends a hybrid schedule as an employee benefit, and reserves the right to revoke the hybrid policy, as needed.

    TOOLS AND EQUIPMENT USED

    Personal computer, multi-line phone, copier, and printer.

    LICENSES/CERTIFICATIONS

    Must have reliable transportation and possess and maintain a valid California driver’s license, a satisfactory driving record, including proof of personal vehicle insurance coverage and insurability under FSD’s insurance carrier standards.

    PHYSICAL, MENTAL & ENVIRONMENTAL REQUIREMENTS

    The physical demands described here are representative of those that an employee will be asked to successfully perform to fulfill the essential functions of this job. While performing the duties of this job, the employee is regularly expected to:

    • Work in an office adjacent to a warehouse setting with occasional travel to other locations in San Diego County.

    • Must be able to remain in a stationary position for prolonged periods of time as well as frequently transport objects between floors

    • Occasionally move, position, install, and remove objects weighing up to 30 pounds.

    • Occasionally it is required to perform the safe operation of office equipment and machines and recognize and abate safety hazards within the workplace.

    • Prioritizes and multi-task work and projects requiring good memory, concentration, and analytical thinking.

    • The noise level in the work environment varies and can be considered moderate.

    PAY & HOURS

    $23 - $25 per hour
