    Job Description

    Door Systems is seeking candidates for a Commercial Customer Service/Billing Representative in Naperville, IL.     SUMMARY: Coordinates activities of designated area including Residential to ensure that goals are accomplished consistent with targets. Responsible for performing necessary functions relative to the coordination and support of all aspects of the service department.

    DAY-TO-DAY RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

    ADMIN DUTIES:

    · Developing positive customer relations by providing courteous, efficient and proactive customer service.

    · Answering inbound calls and creates service tickets, ensuring orders are accurate and complete

    · Working closely with the supervisors and dispatch

    Able to answer all residential calls and follow thru to completion and customer satisfaction

    Maintain weekly residential cash receipts log.

    Scheduling of all residential technicians, including issuing tickets, resolution of tickets, and all communications to ensure customer satisfaction.

    Able to perform Residential sales quotes with quality and timely follow up.

    Able to purchase quoted repair material with accuracy and updating associated logs.

    Able to order all residential products and promote My Q products with every service and installation.

    Able to fill in for Dispatch position and communicate to customers in a professional manner.

    Able to update the QR log with accuracy and in a timely manner.

    Able to determine technicians to fit the service call in order to execute a cost effective and quality experience.

    Able to understand the Door Care contract process.

    Able to fill in for absences and understand all aspects and execute at a high level,

    including billing with maintenance reports

    Scheduling, contract entry, contract follow up, escalations, updating Door Care logs.

    Resolution of tickets, quality customer service to internal and external customers.

    Able to log service calls, and enter quoted repairs into Total Service

    BILLING DUTIES:

    Gather data, calculate charges and fees, and create account invoices.

    · Verifies accuracy of billing data, correcting any errors.

    · Creates itemized statements, bills, invoices, and other necessary billing documents, which may require calculation of credit terms, shipping charges, discounts, and costs of goods.

    · Performs general bookkeeping work, which may include entering data and maintaining records, invoices, and supporting documents of amounts due for items purchased or services rendered.

    · Generates billing documents.

    · Contacts customers to obtain, verify, and update account information when necessary.

    Work with Service department/Vendors to ensure Completed work in Total Service has all required paperwork to invoice within 2 weeks of job complete.

    · Ability to navigate customer portals to complete billing process.

    Maintain customer satisfaction via, complaint log, updating monthly with supervisors and Operations Manager.

    Execute credit memos after complaint form is finalized.

    Work with team Leader’s to address open jobs and incomplete log.

    Work with Service to hit monthly sales budget and goal.

    Able to perform all other special duties assigned.

    · Strong time management skills and the ability to multi-task in a fast-paced environment

    · High level of attention to detail

    .Basic understanding of clerical and administrative procedures.

    · Excellent written and verbal communication skills.

    · Excellent organizational and time management skills.

    · Ability to solve problems as they arise.

    · Proficient in Microsoft Office Suite or similar software. Proficient in online customer portal billing

    EDUCATION AND/OR EXPERIENCE

    · Minimum of high school education

    · Minimum of 1 years Customer Service experience preferred

    PHYSICAL REQUIREMENTS: · Prolonged periods sitting at a desk and working on a computer.
