    JOB SUMMARY

    Responsible for assisting the Sales, Catering and Convention Services Team by performing various office and department duties to support the

    Sales & Catering Office.

    ESSENTIAL FUNCTIONS

    that may be required now or in the future. The Hotel operates 24 hours a day and 7 days a week, so operational demands require variations in shift

    days, starting times, and hours worked in a week.

    1. Professionalism, hospitality-focused qualities and a courteous demeanor are required.

    2. Types contracts, memos, letters, emails and proposals.

    3. Answers telephone inquiries, transfers calls to appropriate Sales/Catering/Convention Services Managers and takes detailed messages.

    4. Maintains Sales/Catering/Convention Services files for follow up and future reference.

    5. Processes check requests and Fire Marshall permits

    6. E-mails/Faxes information to clients.

    7. Compiles information each month for month end reports by outlined due dates.

    8. Coordinates and prints Daily Events

    9. Creates and routes 30-day report weekly

    10. Creates and routes weekly BEO Packet

    11. Enters banquet check actuals into appropriate locations for reporting

    12. Obtains administrator status in Delphi, responsible for menu maintenance and merge docs

    13. Acts as liaison between Sales/Catering/Convention Services department clients and assigned managers.

    14. Manage House accounts and make reservations when needed.

    15. Process Amenity request and Hilton honors point submissions.

    16. Performs weekly Pick-Up Report duties

    17. Updates Commission/Rebate/Honors forecast

    18. Creates on-line booking links

    19. Assemble and process Group Turnovers

    20. Site Tour Preparation

    21. Produces Pre-Con Packets as needed.

    22. Reports accidents, injuries, near-misses, property damage or loss to supervisor.

    23. Reports substandard (unsafe) conditions to supervisors.

    24. Utilizes protective equipment.

    25. Knows department fire prevention and emergency procedures.

    26. Follows safety and security procedures and rules.

    27. Adheres to all departmental and hotel policies and procedures

    28. Attends company orientation, Catering/Convention Service departmental and hotel meetings
