Our Trust Administration team is on track for aggressive growth, and we need an experienced administrative assistant to join the team and work directly with our trust beneficiary clients and referral sources. We want to be known for providing our clients the level of expertise and service that large, corporate trustees offer, but with the personal touch of a small firm. Our trust administration clients come from diverse backgrounds, and several have developmental disabilities or a history of substance abuse. The ideal candidate must exude patience, compassion, and grace. We are growing fast and need an Administrative Assistant who is highly organized, detail-oriented and possesses exceptional communication skills.  Please prepare a cover letter that explains what you believe are the 3 most important qualities or values an Administrative Assistant must possess to excel at their position. Responsibilities: • Serving as the point of contact and managing all trust administration matters the firm handles, including communicating with trust beneficiary clients on a regular basis, the financial managers for the individual trusts, and issuing payments for expenses and distributions to trust beneficiaries • Updating the Firm's practice management system to document all work performed on the Firm's various trust matters • Updating Quickbooks ledgers to reflect incoming and outgoing trust funds • Conducting quarterly meetings with Trust beneficiaries and Financial advisors • Corresponding with the Firm's CPA to assist in preparation of trust tax returns • Drafting correspondence to various trust beneficiary vendors on a regular basis • Assisting the trust administration team with improvement of trust administration policies, systems, and procedures • Onboarding new trust administrations matters • Enhancing existing relationships with the Firm's trust administration referral sources and cultivating new referral relationships Qualifications: • Minimum 3-5 years of administrative or secretarial experience in a professional setting • Exceptional interpersonal and communication skills • Strong organization skills and knowledge in bookkeeping and accounting • Highly proficient with Microsoft word, excel, outlook, and calendaring • Basic knowledge of Quick Books Online • Values consistent with Firm Core values of Accountability, Adaptability, Integrity, Proactivity Compensation: $40,000 - $47,500 yearly
