    Job Description

    JOB TITLE: Executive Assistant

    JOB SUMMARY:

    The Executive Assistant's responsibilities include managing the COO's day-to-day communication, calendar, travel arrangements, and preparing any necessary reports or needed documents. This position ensures the rhythm of the COO’s life is tailored to their workflow by anticipating upcoming needs, being a strategic thinker, remaining well-organized and executing projects with great time management skills. This person must be motivated, skilled at prioritizing, and passionate about playing a crucial role in the success of a growing business.

    KEY RESPONSIBILITIES

    • The ideal candidate will have strong emotional intelligence, people skills, organizational abilities, and the ability to multitask projects with competing priorities while maintaining timely results and open communication
    • A proclivity for accuracy, a fastidious attention to detail, a proactive mindset, a flexible and adaptive workstyle, a willingness to take personal responsibility, and a resourcefulness to come up with creative, efficient ways of accomplishing required task
    • Monitor the COO’s communication, analyzes with priority and provides timely responses
    • Answer messages and route them to the appropriate person
    • Maintain digital filing system and retrieve any business-related documents or reports when needed
    • Solve a variety of key issues that come up during the day
    • Source services or freelancers to help meet the needs of the COO
    • Act liaison between COO and suppliers and other vendors
    • Research and gather data to prepare documents and presentations to company executives and outside parties
    • Assist COO with project management and keep products on schedule through the lifecycle
    • Assist the COO in preparing for meetings
    • Take notes at meetings and follow up on action points
    • Manage projects assigned by the COO to ensure timelines and budgets are met
    • Make and coordinate travel arrangements for the COO
    • Perform office duties including ordering supplies, managing records, etc.

    PHYSICAL AND OTHER REQUIREMENTS

    • Proficient use of databases, spreadsheets, presentation software, and G-Suite
    • Desire to be proactive and create a positive experience for customers and the COO
    • Must be able to adapt and meet deadlines in a fast-paced environment
    • Display a proactive approach to problem-solving with strong decision-making skills
    • Professional verbal and written communication
    • Ability to remain stationary in a sitting or standing position for prolonged periods of time
    • Ability to work in front of a computer screen for several hours at a time including performing repetitive motions, such as typing, that may involve wrists, hands, or fingers
